SUMMARY
- Performs administrative and clerical duties for the Senior Vice President, including, directing telephone calls and personal inquiries to the correct department, and answering questions of a simple and complex nature to THA clients and the public.
- Schedules appointments, composes and types of correspondence, reads and routes incoming mail.
- Supports other teams with various administrative tasks, such as redirecting calls, disseminating correspondence and scheduling meetings.
- Analyzes and writes, types, or enters information into computer to prepare non-routine complex correspondence, contracts, bills, statements, receipts, checks, or other documents, copying information from one record to another.
- Utilizes the features of standard computer software packages to accomplish the following type of tasks: word processing - entering non-standard text for contracts, letters, and reports; spreadsheet applications - develop spreadsheets for various applications and input and update data, as required.
- Monitor office supplies, inventory, and place orders.
- Assist in vendor relationship management.
- Greet and assist visitors when they arrive at the office.
- Answers telephone, conveys messages, and runs errands.
- Maintain files and records with an effective filing system.
- Prepares minutes and agendas for departmental meetings, conducts follow-up action for department management.
- Drafts correspondence, memoranda, and related material, as well as assists in preparation of all required documents, contracts, and contract compliance.
- Coordinates and compiles reports, possibly from raw data, to include researching information of a complex nature for documentation and decision making.
- Interacts in sensitive and confidential situations with professionalism and discretion. Acts as a role model for other THA staff. Cooperates with other staff in handling unusual workload requirements.
- Maintains support systems such as calendars, filing system, archived materials, and data base.
- Coordinate travel arrangements, as necessary.
Requirements (Not an all inclusive list)
- Must possess a valid Oklahoma Driver’s License
- One-year certificate from college or technical school; or three to five years related experience and/or training; or equivalent combination of education and experience.
- Must be available to work M – F, 7:30am – 4:00pm
Who We Are
THA provides publicly assisted housing comprised of traditional public housing, mixed-finance sites, and housing vouchers. Currently, THA provides assistance to more than 20,000 individuals, or 7,200 families. THA is governed by a voluntary Board of Commissioners, each of whom is appointed by the Mayor of the City of Tulsa. The board employs THA’s President/CEO, who in turn employs the remainder of THA’s staff of approximately 200 team members.
