JOB SUMMARY:


The Director of Operations plays a key role in helping scale our impact by reinforcing strong operations and building agency capacity. The Director of Operations supports the COO in operationalizing strategic priorities, projects and overseeing the efficient and effective operations across the agency. The Director of Operations oversees the day-to-day operations of our organization business systems (e.g. agency software solutions and 0365 applications) to meet evolving needs. The position requires frequent collaboration with other staff across all teams, with the aim of instilling a culture of effective use of key systems within the entire organization to more effectively structure, organize, and advance HF's mission. The ideal candidate is connected to our service area and will resonate with our mission.


JOB RESPONSIBILITIES:


Technology Planning, Implementation, Maintenance and Stewardship (30%)

The Director of Operations will lead and implement the organization's technology strategy and data roadmap ensuring alignment with agency goals and day-to-day operations. This position has a pivotal role in data governance supporting agency-wide projects and programs and manages the agency’s evolving technology and infrastructure needs. They will identify emerging technologies and trends and make recommendations to the executive and leadership teams as necessary.


  • Oversee the agency’s data governance framework to ensure data quality, privacy, security and data standards are set and adhered to throughout the organization.
  • Lead the Data Governance Team in bi-weekly sprints to triage & manage work, debrief on projects, and assist with addressing backlogged items.
  • Establish and maintain data management policies and procedures, including data lifecycle management.
  • Monitor the performance of technology systems and identify opportunities for optimization and efficiency improvements.
  • Follow IT & security best practices to keep data safe and secure, and support staff in doing the same. Ensure technology solutions are scalable, secure, and meet performance requirements.
  • Provide oversight for technology-related projects, ensuring they are executed effectively, on time, and within budget.
  • Oversee the agency’s equipment inventory (e.g. laptops, printers, copiers) across multiple locations.
  • Working with the COO, ensure that the annual budget includes replacement inventory and new technology solutions.
  • Review monthly reports from MSP vendors.


Guide and support business systems and processes (30%)

Collaborate with program teams, program directors, and management to understand their technology needs and provide solutions.

  • Gather detailed requests for improvements or changes to the systems. Surface staff pain points to COO and suggest process improvements & changes based on staff feedback and observed workflows.
  • Demo new functionality to staff; make adjustments and incorporate staff feedback into solutions and to inform on limitations, applicability, and training needs.
  • Become knowledgeable of 0365 applications (e.g., Power Bl, Power Automate, Power Apps) and how their use can aid organizational efficiencies. 0365 applications are to be evaluated as potential solutions for improving existing processes.
  • Ensure ongoing training and development of technology for staff. Keep the team's skills up to date with industry advancements.
  • Develop and refine relevant reports & dashboards across departments.
  • Advise staff on running reports, and building reports & dashboards for their respective workflows.
  • Maintain streamlined workflows.
  • Support new hires with onboarding sessions.



Operational Capacity Building, Planning, and Implementation (30%)

  • Support the COO in managing large-scale growth projects;
  • Develop a project plan and oversee implementation of moving departments to an electronic record management system.
  • Guide implementation of new business-system integrations, enhancements, modifications, and new modules.
  • Assist the organization in implementation of key milestones for 1115 waiver/Medicaid billing.

Other (10%):

  • Actively participate in required convenings and staff meetings, and virtual staff communications.
  • Protect the organization by keeping information confidential.
  • Update professional knowledge by participating in educational opportunities approved by HF, maintaining networks, and participating in professional organizations as relevant to your role.
  • Working with the COO, identify, evaluate and negotiate contracts with vendors and service providers.
  • Oversee the agency’s business continuity and Emergency Preparedness Plan and update as necessary.
  • Oversee the creation and timely updating of all operational and safety policies and processes
  • Other tasks as assigned
Requirements:

QUALIFICATIONS:

  • Bachelor's degree in a relevant field; advanced degree preferred. 5-8 years of experience in technology leadership roles, preferably in a non-profit, research, or innovation-focused environment
  • Two or more years' experience with Knowledge of the Microsoft Office Suite. Working knowledge of the platform, the ability to build custom apps, objects, fields, workflows, list views, and other content of intermediate complexity.
  • A demonstrated ability to understand and follow complex workflows across multiple teams.
  • Are passionate about supporting their HF colleagues' best work through strong systems that solve current problems while being built to scale.
  • Excellent communication skills, including an ability to communicate clearly in writing and verbally to a wide range of audiences.
  • Outstanding organizational skills and ability to effectively prioritize and manage multiple tasks at the same time, with a full calendar of meetings and events.
  • Strong attention to detail, specifically with regards to data, systems & processes, logical fallacies, instructions & documentation.
  • Creative and analytical thinker with strong problem-solving skills.
  • Demonstrated ability to prioritize tasks and organize information, work independently, and use good judgment. A documented history of successful project completion.
  • Ability to align technology initiatives with overall business objectives.
  • Ability to define and support data stewardship.
  • Ability to thrive in a dynamic and collaborative work environment.
  • Curiosity about process & process improvements. Ability to see a system for its parts and identify most likely points of failure in the case of an error.
  • Excellence in explaining technical concepts to people without specialized or technical knowledge and adapting training materials to different learning styles.
  • Commitment to accessibility of technical systems and materials.
  • Capacity and interest in supporting staff with technical systems & solutions.
  • Adept with technology, and ability to quickly learn new systems & processes.
  • Commitment to continuous improvement

PHYSICAL REQUIREMENTS:

While performing the essential duties of this job, the employee is required to sit and stand for sustained periods of time, frequently talk, hear, use hands and fingers to feel, handle and operate objects or controls, and occasionally stand, bend, stretch, stoop, kneel, crouch, and walk up and down stairs.

The employee is required to have close visual acuity to perform an activity such as preparing and analyzing data and figures, transcribing, and viewing a computer terminal.

The employee may occasionally lift and/or move up to 20 pounds.
