Overview

The Accounts Payable Coordinator will have the opportunity to gain valuable skills and deeper insight into the financial operations of a company that provides relocation services. This role requires the ability to multitask, be proactive, adapt to changing priorities, and work efficiently in a sometimes fast-paced environment.

The Accounts Payable Coordinator will support the Finance Department with reviewing all invoices, expenses and provide system support and training. HOU, has over 60 active sites with an average of 425 monthly expenses for review. The candidate must possess a solid ethical framework, maintain confidentiality, and demonstrate integrity, accountability, and a strong work ethic in prior work experience. This position requires working at the office Monday through Friday, 40 hours per week. After six months on the job, candidate may discuss the possibility of working from home one day a week, provided they demonstrate a thorough understanding of their responsibilities.

Responsibilities

  • Manage the accounts payable process by approving expenses and invoices through Concur, ensuring timely entry of all bills received via mail or email into QuickBooks.
  • Collaborate with management to ensure accurate billing submission of expenses, track payment status, and proactively investigate and resolve any discrepancies.
  • Conduct training and lead monthly Concur drop-in sessions for all staff and new hires, providing guidance on system usage and best practices.
  • Troubleshoot Concur issues, including resolving login problems and assisting staff with navigating the system. Must be comfortable using Concur and helping others with its functionality.
  • Process checks on a weekly basis and as required to ensure timely and accurate payments.

Qualifications

  • An Associate degree in Finance, or Accounting or at least three years of related experience or an equivalent combination of experience and training.
  • A demonstrated ability to maintain strict confidentiality when handling sensitive information is essential.
  • Knowledge of Microsoft Office Suite, Word, and Excel is a must.
  • Must know QuickBooks Online and Concur, or at least feel confident in learning new systems, taking initiative in the learning process, and keeping thorough notes. Having prior knowledge of these systems is a plus.
  • Excellent verbal, written, and in-person communication skills.
  • Ability to multi-task, meet pressing deadlines and anticipate needs.
  • Ability to work independently and autonomously.
  • Excellent organization, interpersonal skills, and attention to detail
  • Adaptable to competing demands and demonstrate the highest level of customer/client service and response.
  • On rare occasions lifting office products and supplies, up to 20 pounds.
  • Reliable transportation is needed.

While performing the duties of this job, the employee is required to talk and hear regularly. The employee must be able to remain in a stationary position 80% of the time. The employee needs to move inside and outside the office to access file cabinets and office equipment. The position requires occasionally lifting office products and supplies, up to 20 pounds, and traveling to various locations for meetings. Reliable transportation is needed.
