Administrative Analyst for the Associate Provost
Reports to: Associate Provost for Academic Affairs and Dean of the Graduate School
Job Status: Exempt
Position Summary: The Administrative Analyst is responsible for administrative duties supporting the Office of the Associate Provost.
Office Hours: Monday-Friday, 8:00 am-5:00 pm.
Job Responsibilities:
- Assist the SACSCOC Liaison in the coordination of accreditation and compliance activities, as and when applicable
- Oversee and manage the adjunct faculty and full-time overload contract and payroll processes in conjunction with college administrative assistants, Associate Provost, and CFO/COO
- Serve as the University's FLAC (Faculty Load and Compensation) administrator to manage payroll
- Provide administrative support to the daily tasks for the Associate Provost
- Compile materials from University and external sources to create reports, spreadsheets, tables, graphs, and other visualizations to assist in data analysis, decision-making, and presentations as requested by the Associate Provost
- Document and oversee the creation, submission, and approval of Academic Affairs Committee minutes while serving as a non-voting member
- Maintain and update web pages and content for the various areas under the leadership of the Associate Provost
- Oversee the faculty hiring and onboarding process across university campuses (residential and online) including the collection of applicant data and communication with HR regarding hiring practices and policies
- Administer the scheduling of classrooms for each academic term while working collaboratively alongside the university’s schools/colleges to schedule classrooms for each semester
- Collect and process financial documents according to Accounting Office Procedures including, but not limited to, credit cards, invoices, expense reports, and mileage logs for the Office of the Associate Provost
- Develop and maintain relationships with key internal constituents across the University
- Provide support to the offices of Compliance and Assessment, Institutional Research and Effectiveness, Academic Records, Academic Support Services, C-LITE, and Academic Technology
- Hire, onboard, and manage the tasks and workload of all student workers hired by the Office of the Associate Provost
- Other duties as assigned
Qualifications:
- Bachelor's degree required
- Computer literacy in the Microsoft Office suite
- Knowledge of Banner preferred
- Excellent organizational and communication skills
- Proactive and self-reliant
- Ability to prioritize and multi-task
- Ability to effectively collaborate with others
- Ability to maintain an enthusiastic and professional demeanor
- Work to further the University’s mission
