The primary functions of this Case Aide position will include providing case management support to the Income Maintenance Unit of the Public Health & Human Services Dept., along with additional para-professional and clerical tasks as assigned.

POSITION PURPOSE

A clerical employee who acts under the general supervision of a unit supervisor and is responsible for performing a variety of para-professional tasks related to the delivery of services by agency social workers, eligibility workers, and nurse-case managers.   

DISTINGUISHING CHARACTERISTICS  

A majority of the Case Aide duties are performed independently but in accordance to standard policies, procedures and/or protocols.   Primary responsibilities include acting as front line contact for the Case Aide’s assigned division/unit (Financial Assistance, Social Services, or Public Health) and case management support for that division/unit. *Individual Agency Case Aide duties may be assigned based on County need.

 Screen/Collecting Client Information
  • Provide general information to walk-in client questions and general client screening; refer clients to internal and external resources; maintain a contemporary list and working knowledge of internal/external available resources 
  • Assist Intake Social Workers: interview clients to obtain and verify required information and make referral to the appropriate PHHS unit/resources  
  • Assist Eligibility Workers: 
30% - 40%
 Division/Unit Support  
  • Review case records for completion of required agency forms for assigned division/unit (Public Health, Financial Assistance, or Social Services)
  • Electronic Document Management System (EDMS) -  Assist in scanning and record retention within OnBase, Traverse or other systems for assigned division/unit; assist with training staff with the EDMS system  
  • Assist Social Workers, Public Health Nurses, and Nurse Case Managers deliver client services and manage cases including:     
  • Assist the Financial Assistance Supervisor with internal audits 
  • Assist Financial Assistance Eligibility Workers in delivering client services and managing cases
40% - 50%
 Clerical            
  • Provide receptionist duties including greeting the public and answering the telephones
  •   Perform various clerical duties as assigned including issuing EBT cards, processing department mail, and drafting correspondence and reports as needed 
  • Maintain client records within various systems
  • Other PHHS support as assigned 
10% - 20%

Employment Standards
Education and experience
  • Two years of study at an accredited two- or four-year college/university with an emphasis in the behavioral sciences or related field (at least 23 quarter or 16 semester credits)
-OR-
  • Two years of experience as a community service aide or similar experience in a private non-profit agency or other public agency 
-OR- 
  • Two years of successful clerical experience in a social services/human services agency 
-OR-
  • Three years of successful clerical exp. and/or exp. working with the public, or the equivalent
-AND-
  • Minnesota DHS Case Aide Merit qualified

Other Pre-Employment Standards/Requirements 
  • Pass a criminal history/background check
