Position Overview :

The Fundraising Events Coordinator is responsible for organizing Houston Humane Society fundraising events. Key duties include planning and executing events; tasks involve detailed planning, logistical coordination, and goal execution. This position ensures that fundraising activities are conducted professionally, reflecting a positive image of the organization and effectively supporting its mission.

Principal Duties and Responsibilities :

  • Plan, coordinate, execute and manage all aspects of events from set up to clean up.
  • Conduct site visits; liaise with venue staff and vendors for events.
  • Provide outstanding service to sponsors, vendors, and guests, fielding inquiries and resolving issues promptly.
  • Secure partnerships, in-kind donations, and support from local businesses and individuals.
  • Input attendee information into donor database platforms accurately.
  • Ensure compliance with insurance and permit requirements.
  • Work closely with the Development Director to meet and track event budgets.
  • Organize supplies and services, seeking cost-effective and pro-bono options to optimize resources.
  • Create and distribute fundraising materials; ensure timely event updates for newsletters and the website.
  • Work closely with the Donor Engagement Coordinator and Marketing Department to produce promotional materials and publicize events.
  • Maintain accurate records of event supplies, giveaways and prizes.
  • Work with the Volunteer Department to recruit, train, and supervise event volunteers.
  • Provide reports on event statistics and status of events
  • Manage post-event financial transactions, communications and acknowledgments.
  • Attend business events to foster fundraising opportunities and corporate engagement.
  • Represent the organization at community events.

Hours of work :

Days : Monday – Friday

Time : 9 : 00 am – 5 : 30pm; 30 minutes lunch break

Must be available to work a flexible schedule to accommodate events (evenings and weekends).

Supervision Received : Work under the general direction of the Development Director, exercising independent judgment in task prioritization and completion with minimal supervision.

Qualifications & Skills :

  • Bachelor's degree preferred in a related field (communications, public relations, etc).
  • Prior experience in event planning, preferably in a nonprofit.
  • Strong verbal and written communication skills to engage effectively with donors, participants, vendors and internal teams.
  • Proficient in Microsoft Office and Google Workspace (Docs, Sheets)
  • Experience with desktop publishing / graphic design is highly desirable.
  • Ability to build relationships with diverse stakeholders.
  • Attentive to details.
  • Ability to organize and prioritize work, and meet tight deadlines.
