Position Summary: As the accounting clerk, you ensure the hotel’s financial records are accurate, communicate with guests and vendors regarding financial transactions, process vendor invoices, reconcile accounts, and prepare financial reports with accuracy and compliance using established processes and procedures. You will work closely with guests, different department members of our team, and vendors, using a positive and professional approach as you research and resolve billing questions and issues.
Scheduling: This is a Full-Time position working Monday - Friday, 8:00 AM - 4:30 PM, with open availability to work overtime and/or weekends if required to meet business needs.
Specifically, in this Accounting Clerk role will be primary responsible for, but are not limited to:
- Assist in processing the daily transactions and income audit.
- Research vendor billing questions and promptly respond to chargebacks.
- Analyzes invoice/expense reports and records entries to charge expenses to accounts and cost centers.
- Research and investigate all credit card disputes.
- Monitors discount opportunities and verify federal identification numbers.
- Review purchase order, contract, invoice, and/or payments for discrepancies.
- Ensure that credit for outstanding memos is received.
- Review and resolve guest inquiries in a timely, efficient manner, following up with guests to ensure satisfaction is achieved.
- Process invoices for payment approval by checking invoices against purchase orders, receiving records and appropriate approvals.
- Reconcile vendor statements to hotel records.
- Set up new accounts in accordance with established policies and procedures.
- Prepare and monitor monthly aging of accounts
- Make phone calls to collect overdue accounts.
- Prepare bills and mail invoice statements; prepare collection letters for delinquent accounts
- Complete and transmit accounting reports and support documents as required.
- May perform additional accounting related duties as needed or requested by the accounting staff and management.

Supportive Functions: The hotel functions seven (7) days a week and twenty-four (24) hours per day. Due to the seasonal nature and business hours of a hotel, candidates must realize it may be necessary to move an employee from their accustomed shift to meet business demands. All associates are expected to perform any other duties as requested by management to support other departments and/or operational requirements.

- Ability to maintain strict adherence to confidentiality requirements and follow all company policies and procedures accordingly.
- Able to move and carry up to 15lbs.
- Able to remain in sit for extended periods of time; with frequent, walking, reaching, and grasping.
Experience
- Minimum of two years (2) of financial accounting or bookkeeping experience is required, preferably in the hotel or hospitality industry.
- High school diploma or equivalent required; degree in hospitality or related field preferred.
