Areas of event responsibility for this position may include employee, donor, consumer, community or patient events. PEOPLE ESSENTIAL FUNCTIONS
- Fosters and maintains positive working relationships with all stakeholders to support to meet defined event goals. This may include leading planning committees and delegating responsibilities to committee members.
- Partners with appropriate stakeholders to ensure the successful development and execution of events. This may include representing the hospital to external organization and corporations, communicating and informing about hospital services, programs and outreach opportunities. It may also require vendor relationship management.
- Serves as the primary representative and contact person for community outreach initiatives, hospital or employee events as appropriate.
- Supports operational goals through timely completion of assigned events and projects.
- Partners with internal and external stakeholders to ensure the successful coordination of all event components. This includes volunteer coordination, catering, registration, set-up and breakdown and rental arrangements.
- Coordinates with appropriate marketing teams to ensure that promotional communications and materials support established goals and objects and meet brand standards.
- Proactively updates stakeholders on event status.
- Ensures event messaging aligns with established goals.
- Leads post event follow up sessions for assigned events and identifies opportunities for improvement.
- Establishes methods to track event success and gather feedback. Develops and maintains historical data and information for event analysis.
- Ensures timely submission of invoices, tracks and adheres to budgets for assigned events. Follows up with budget approvers to ensure payments are accounted for on the appropriate budget year.
- Partners with management in the development of event budgets. Evaluates return on investment as appropriate.
- Develops and implements new ideas and best practices for events to meet department goals/hospital goals.
- Grows and enhances knowledge of event management.
- Proactively manages own career development.
Qualifications
EDUCATION
- High School diploma or equivalent education (examples include: GED, verification of homeschool equivalency, partial or full completion of post-secondary education, etc.
- Bachelor's degree preferred
- Five years' experience in corporate event coordination and planning or combination of project management/hospitality with corporate event planning
- Healthcare experience preferred

- Demonstrates the skills and competencies necessary to safely perform the assigned job, determined through on-going skills, competency assessments, and performance evaluations
- Sufficient proficiency in speaking, reading, and writing the English language necessary to perform the essential functions of this job, especially with regard to activities impacting patient or employee safety or security
- Ability to effectively communicate with patients, physicians, family members and co-workers in a manner consistent with a customer service focus and application of positive language principles
- Sound judgment and decision making
- Ability to work under pressure and balance competing priorities to meet expectations of multiple stakeholders
- Excel proficiency to the degree required by the department in which the position resides, ranging from proficiency to intermediate-level expertise. Proficiency in using presentation software.
