The Service Department Coordinator is responsible for managing the procurement of parts and materials, ensuring their timely delivery to the warehouse and job sites, and maintaining an organized inventory system. This role requires strong vendor relations to secure the best pricing and service while overseeing warranty part returns and securing related credits.
Key Responsibilities:
- Dispatch and coordinate installers to job sites.
- Process sales documentation and ensure accurate record-keeping.
- Manage and update the installation schedule to ensure timely completion of tasks.
- Create and maintain organized job folders for each project.
- Calculate and process task-related pay for installers.
- Initiate and follow up on warranty calls to resolve customer issues.
- Assist customers in scheduling city inspections as required.
- Schedule and coordinate subcontractors for crane services or other installation-related tasks.
- Review and manage equipment inventory to support installation activities.
- Assist in collecting payments from clients as needed.
- Collaborate with clients, sales personnel, warehouse staff, accounting, and other departments to streamline the workflow of the installation process.
Required Qualifications:
- Advanced customer service skills.
- Strong organizational and multitasking abilities.
- Knowledge of local geography or map-reading skills.
- Industry knowledge (preferred but not required).
- Excellent communication and interpersonal skills.
- Familiarity with purchasing procedures.
- Proficiency in computer applications.
- Strong math skills.
- Ability to follow directions accurately.
- High school diploma or GED.
- Minimum of 2 years of related experience in customer service, parts, or project management, or an equivalent combination of education and experience.
Physical Demands:
