The Supervision Administrative Assistant position functions as the gate keeper for the supervision probation officers, enrolls defendants ordered by the court, enters data into the computer, attends Court as requested and otherwise completes clerical and minor administrative detail, under the supervision of the Howard County Home Detention Assistant Chief Probation Officer.
DUTIES:
Enter participant information into all databases including Averhealth, SRS, Lockdown and/or Scramnet.
Conduct participant intakes: complete necessary intake forms, explain them to the participant, assign participants to officers based on established criteria, schedule appointments, and document interactions.
Install GPS device on participants, when required.
Complete transfer paperwork with participants, when required.
Close case files, adjust fees, and e-file notice with the Court.
Attend court and take notes, as needed.
Manage participant community service assignments.
Maintain communication with co-workers.
Maintain the Community Supervision lobby IPADs, pens and paperwork.
Other duties as assigned.
SKILLS: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one on one and small group situations to customers, clients, and other employees of the county.
Ability to add and subtract 2 digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
RESPONSIBILITY: Computer skills are required for the completion of the duties of this job.
EDUCATION AND EXPERIENCE: High school diploma or general education degree (GED); or 2 years experience and/or training; or equivalent combination of education and experience.
PERSONAL WORK RELATIONSHIPS: Ability to communicate tactfully, both verbally and in writing.

PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to sit and reach with hands and arms. The employee is frequently required to stand, walk, and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close, distance, color, and peripheral vision.
WORK ENVIRONMENT: Duties are performed mostly in a standard office type environment with moderate noise levels.
