As a Project Development Assistant You Will
- Support the management team with document preparation, financial grant tracking, project set up, construction administration support, client communication and customer support
- Administer federal grant paperwork
- Complete project set up in company ERP software, DELTEK Vantagepoint
- Draft company contracts and other vendor agreements
- Assist with tasks such as shop drawings, and review of contractor payrolls
- Collect, log and track construction request for information submittals
- Review and process contractor pay requisitions
- Assist with development of non-technical portions of design specifications
- Prepare non-technical sections of FAA SF 424 grant applications
- Monitor and track all FAA and State annual grant related deadlines
- Correspond with airport managers and municipal finance staff via email, phone and video conference
- Plan and schedule meetings, ensuring meeting materials are developed and distributed before the meeting (meeting agendas, meeting specific content, etc.)
- Ensure meeting logistics are in place and validated (meeting rooms, phone/video/web conferencing, in room projection capabilities) and attendance for required participants is confirmed
- Assist the project manager with financial project tracking including setting up accounting documentation, invoicing assistance and planning documents
- Assist senior division leadership with preparation and editing of correspondence, communications and presentations
Qualifications:
- Five or more years of prior experience in business administration, grant administration or office management
- Associates Degree in Business or Administration, Bachelor Degree is a plus
- Strong demonstrable written communication skills
- Strong verbal communication skills
- Ability to work well within a team environment with varying personalities
- Quick learner with ability to take direction, incorporate feedback and ask questions
