Position Summary:
We are seeking an experienced HR Administrative Assistant with a strong background in talent acquisition support and office administration. This individual will play a key role in streamlining the recruitment process, managing onboarding logistics, and supporting key operational and administrative functions across the HR department. The ideal candidate must bring prior experience supporting full-cycle recruitment efforts and demonstrate the ability to work proactively in a fast-paced, high-growth environment.
Key Responsibilities:
Talent Acquisition & Recruitment Support
- Partner with hiring managers and recruiters to coordinate all phases of the recruitment process, including interview scheduling, candidate communication, and logistical planning.
- Draft, format, and post job descriptions across multiple recruiting platforms.
- Perform initial screening of resumes and candidate profiles to identify qualified applicants.
- Manage and maintain applicant tracking systems (ATS), ensuring data accuracy and compliance throughout the hiring process.
- Track candidate pipelines and assist with recruitment metrics reporting and status updates.
Onboarding & Employee Integration
- Support new hire onboarding logistics including document collection, system access, and orientation scheduling.
- Collaborate with IT and department managers to ensure equipment, workspace, and system access are ready prior to the employee’s first day.
- Maintain onboarding checklists and ensure a consistent and smooth experience for all new hires.
Office & Administrative Support
- Serve as the front-line contact for the office, greeting visitors, handling phone calls, and directing inquiries appropriately.
- Maintain office supply inventory and coordinate with vendors for equipment, catering, and delivery services.
- Schedule and coordinate internal meetings, interviews, training sessions, and company events.
IT Coordination & Asset Tracking
- Act as the HR liaison to the IT department for employee tech setup, troubleshooting requests, and support ticket coordination.
- Track software licensing and maintain a current inventory of all company-issued hardware and electronic assets.
- Assist employees with basic IT troubleshooting and usage of workplace systems and cloud-based services.
Compliance & Safety Administration
- Help maintain safety training records, employee certifications, and compliance documentation.
- Ensure HR systems are updated with accurate training and safety data.
- Coordinate client-specific training access as needed.
Required Qualifications:
- Experience in a Human Resources , Talent Acquisition support role, hospitality or retail backgrounds are encouraged to apply!
- Proven experience working directly with an ATS and managing recruitment logistics.
- Strong knowledge of administrative best practices and office operations.
- Proficient in Microsoft Office Suite and other HR/recruitment software tools.
- Excellent interpersonal, written, and verbal communication skills.
High attention to detail, with the ability to manage multiple tasks and prioritize effectively.
Ability to handle confidential information with a high level of discretion.
Job Type: Full-time
Pay: $19.00 - $23.00 per hour
Expected hours: No more than 40 per week
