Summary
As the Client Invoicing & Billing Accounting Manager, you will play a pivotal role in driving financial accuracy and efficiency within a dynamic Architecture, Engineering, and Construction (AEC) firm. Leading a team of eight project accountants, you will oversee the full invoicing lifecycle, ensuring seamless billing operations, timely revenue recognition, and strong client relationships. This role is ideal for a detail-oriented and strategic financial leader who thrives in a fast-paced, project-driven environment and enjoys collaborating with project managers, executives, and clients to optimize billing processes and cash flow. Essential Duties and Responsibilities
Billing & Invoicing Management
- Oversee the end-to-end client invoicing process, ensuring accuracy, compliance, and timeliness.
- Review and approve invoices, verifying time entries, contract terms, and project-specific billing structures.
- Monitor accounts receivable, track outstanding balances, and proactively address rejections or reductions.
- Investigate and resolve billing discrepancies, collaborating with clients and internal teams.
- Maintain and enhance billing systems, ensuring efficiency and compliance with company policies.
- Prepare and distribute invoice packages, including supporting documentation and customized billing formats.
- Communicate client policy updates to timekeepers, project managers, and business unit leaders.
Leadership & Team Management
- Lead, mentor, and develop a team of eight project accountants, ensuring high performance and professional growth.
- Assign and oversee work, providing guidance and corrective feedback as needed.
- Implement process improvements to streamline workflows and enhance team efficiency.
- Foster collaboration between accounting, finance, and project management teams to optimize billing processes.
Financial Oversight & Compliance
- Assist business unit leaders and executives with budgeting and financial reporting.
- Analyze accounting reports and provide insights on financial trends and variances.
- Ensure compliance with internal controls, company policies, and regulatory requirements.
- Supervise banking activities related to receivables and oversee financial reconciliations.
- Coordinate with auditors, tax professionals, and external financial institutions as needed.
Qualifications & Experience
- Bachelor’s degree in Accounting, Finance, or a related field.
- Minimum of 10 years of accounting experience, preferably within the AEC industry or a professional services environment.
- Strong leadership skills with experience managing and developing accounting teams.
- Proficiency in accounting and billing software, with a keen ability to optimize financial processes.
- Excellent problem-solving skills, attention to detail, and the ability to manage multiple priorities.
- Strong communication and relationship-building abilities, both internally and with clients.
