As our President’s Executive Assistant, your responsibilities fall into the following five areas:
Executive Support:
- Manage scheduling, prioritize inquiries, and resolve conflicts to ensure smooth operations
- Prepare essential documents, including correspondence, reports, and presentations
- Coordinate travel logistics and process expense reports
- Act as a liaison between the President, Board of Directors, and Directors Team
- Oversee Board and committee meetings, handling agendas, materials, minutes, and follow-ups
Project & Event Management:
- Support key initiatives and special projects to support organizational goals
- Plan and execute events, including membership functions and engagement activities
Fundraising:
- Oversee membership renewals and track data for retention and growth
- Support fund development through recruitment and grant solicitations
- Maintain accurate membership records and drive engagement initiatives
Marketing & Communications Support:
- Support marketing, public relations, and outreach efforts
- Manage event promotions and assess performance for continuous improvement
- Contribute to digital marketing and social media strategies
Office & Administrative Operations:
- Maintain contact lists and organizational records
- Support financial tracking and administrative tasks, including bookkeeping
- Implement process improvements for enhanced efficiency
- Advise on operational and strategic matters
We believe you should have the following skills to be successful as our President’s Executive Assistant:
- Bachelor’s degree in business, marketing, communications, or a related field
- Minimum of 3 years of experience providing high-level support to assigned C-level executive(s)
- Executive project management experience ideally including fundraising, event planning, and/or marketing/communications
- Exceptional ability to multitask, manage, prioritize, organize, plan, focus, adapt to changes quickly, and follow through
- Possess a strong sense of judgment and ethical conduct when dealing with confidential matters
- Ability to leverage excellent people skills to connect, communicate, build trusted relationships, and provide the utmost level of customer service
- Proven history of achieving organizational objectives, driving operational efficiencies, and high-quality performance
- Proficiency in Microsoft Office Suite and data management systems
Bonus points if you have any of the following:
- Prior experience in a nonprofit setting
- Working knowledge of HubSpot, Canva, Asana, and/or QuickBooks
