This is a union position.The Administrative Assistant supports the Administrative Support Manager, Project Manager, and Director of Program Operations by providing clerical and administrative support to ensure program efficiency. Responsibilities include managing client traffic, scheduling appointments, and maintaining strict confidentiality. This role requires strong customer service skills, attention to detail, and flexibility. Hours of operation are Mondays and Fridays from 9:00AM to 6:00pm; Tuesdays, Wednesdays, and Thursdays from 9:00AM to 8:00PM.
Key Responsibilities
Administrative Responsibilities:
General administrative support: phone, email, printing
Customer Service: Greet clients, handle inquiries, and ensure a welcoming environment
Develop and distribute reports, meeting minutes, etc.
Assist with intakes, appointment scheduling
Assist with audits, records management, and health & safety tasks
Process expenditures and reimbursements
Flexible scheduling; ability to arrange work schedule in accordance with the program’s hours of operations to ensure front desk coverage
May be asked to assist other programs during peak times or staffing shortages
Adjust workload as necessary to ensure uninterrupted service delivery
Facility Responsibilities:
Perform office opening/closing, inventory management, and event coordination
Assists with health and safety tasks or act as Health & Safety representative
Act as point of contact for vendors and repair technicians
Data and Compliance Responsibilities:
Provide data entry, including (but not limited to) client data, billing, and reports using the most current platform set forth by the program (Power BI, Welligent, Avatar, Qualo, Sharepoint, etc.)
Perform Medi-CAL eligibility reviews. Create and reconcile pay sources.
QUALIFICATIONSEducation, Credentials, and Experience• High school diploma, GED or equivalent required. • Bachelor’s degree in related field preferred.• Comply with California Statewide Healthcare Worker Vaccination Requirement; exemptions will be made for medical or religious reasons.• Possess a valid First Aid and CPR certification or ability to obtain within 30 days of hire.• Experience working with clients experiencing substance use issues.• Experience of volunteering or special projects related to general office work.• At least one (1) year of general office work experience preferred. • Experience working in the behavioral health field. Experience with billing and data collection preferred.
Background Check and Other Requirements• Must be able to complete a background check and livescan clearance.• Must be able to pass health screening and TB test requirements.
