Overview:We are seeking a professional and friendly Front Desk team member to join us. In this role this position will be the first point of contact for visitors, clients, and employees, providing exceptional customer service while maintaining a welcoming and organized office environment. This position requires a proactive attitude, excellent communication skills, and a commitment to creating a positive atmosphere for all who interact with our office.
Key Responsibilities:
- Guest Reception:
- Greet visitors and clients with a friendly and professional demeanor.
- Check in guests and provide necessary instructions or materials.
- Direct guests to appropriate departments or meeting rooms.
- Office Support:
- Answer and direct phone calls, emails, and inquiries in a courteous manner.
- Maintain a clean, organized, and professional front office area.
- Assist with office scheduling, appointment coordination, and room bookings.
- Administrative Duties:
- Manage office supplies, ensure they are stocked, and place orders as needed.
- Handle basic clerical tasks such as filing, data entry, and scanning documents.
- Assist with preparing and distributing internal communications and documentation.
- Maintain Office Environment:
- Ensure the front desk area is tidy and presentable at all times.
- Provide general assistance to office staff as needed, fostering a cooperative work environment.
- Security and Protocols:
- Monitor and manage building access, ensuring that all visitors follow security protocols.
- Maintain a sign-in/sign-out log for visitors and deliveries.
Qualifications:
- High school diploma or equivalent; additional office or customer service training preferred.
- Previous experience in an administrative, customer service, or front desk role is a plus.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and attention to detail.
- Ability to multitask in a busy environment while maintaining professionalism.
- A positive, team-oriented attitude with a focus on customer service.
