A Parts Manager is responsible for maintaining the stock of replacement parts. Duties include

Parts Manager duties and responsibilities
A Parts Manager needs to perform well under pressure and understand the fluctuating needs for various replacement parts to excel in the role. They’re responsible for ordering, storing, receiving and distribution processes of our organization’s products and supplies, keeping the business well-stocked and keeping customers happy. Some daily Parts Manager job duties include:
- Forecasting parts needs and ordering parts to maintain optimal inventory levels
- Monitoring the current parts inventory
- Pricing parts to maintain profitability and expense control
- Receiving parts, including placing them into inventory and properly labeling them
- Helping customers find and purchase the correct parts
- Overseeing special orders
- Implementing an inventory tracking system for optimized inventory control procedures
- Examine the levels of supplies to determine shortages
- Document daily shipments and deliveries to replenish inventory
- Create detailed reports for adjustments, inventory operations and stock levels
- Evaluating new inventory, ensuring it’s ready to ship
- Properly order new supplies avoiding excessive surplus or inefficiencies
- Analyze suppliers to ensure the company is receiving the best cost-effective deals
- Collaborating with service managers and specialists to ensure all parts are available for repair jobs
- Hiring, supervising and training parts department staff members
- Ensures that his/her team performs with a positive attitude and a great sense of urgency in order to exceed customer expectations
- Will be required to handle disciplinary issues involving personnel if/when they occur.
- Works with his/her operations Manager to develop and implement short- and long-term strategic plans, objectives, and goals for each location.
- Handles customer requests, concerns, and complaints in a prompt and professional manner.
- Completes performance reviews as/when required for everyone within his/her organization.
Essential Job Functions:
- Responsible for Parts ordering process, confirming orders, and monitoring delivery times, invoicing, and utilization.
- Check in the parts process, label, and distribute immediately upon receipt or store in an organized manner until the assigned job is ready for the part.
- Track any incomplete order status (outstanding orders, backorders, and credits) and follow up as necessary.
- Inspect all parts for damage, quality, and accuracy.
- Return and re-order any damaged or incorrect parts.
- Maintain pending credits at zero.
- Pickup parts at vendors as requested.
- Keep the work area clean and well organized.
- Comply with all JHCC safety rules, guidelines, and standards.
- Perform other related duties as assigned.
- Provide a workplace free from serious recognized hazards and comply with standards, rules and regulations issued under the OSHA Act.
- Critical-thinking skills to establish action plans and routinely assess their effectiveness
- Organizational skills to manage multiple moving pieces, people and orders
- Problem-solving skills to anticipate problems before they happen and handle them appropriately when they do
Necessary Knowledge, Skills, and Abilities:
- Strong computer skills and readiness to learn new programs.
- Exceptional communication skills, oral and written.
- Ability to read and understand the basics of repair instructions, written estimates, and work orders.
- Outstanding organizational and multi-tasking skills; adapts easily to a fast-paced environment.
- Personable, friendly demeanor with a solid customer service approach to internal and external customers.
- Willingness to travel to other company locations as required or directed by leadership.
Education and Experience Requirements:
- Minimum 5 years prior parts experience.
- Prior customer service experience preferred.
Work Environment and Physical Demands:
- Must be able to work consistently in between a climate-controlled, professional office environment and a non-climate-controlled shop environment.
- Requires long periods of sitting or standing depending on daily workflow.
- Requires the use of standard office equipment (i.e., computer, copier, scanner, etc.)
- May require moderate standing, walking, bending, or stooping.
