General Description
The equipment coordinator is responsible for maintaining a database for tracking equipment on company job sites and managing equipment records and equipment usage records for the company. We are seeking a self-motivated, detailed-oriented candidate with excellent communication and data entry skills.
Key Duties
- Issues PO’s for all equipment parts or services purchases authorized limit of $100 as established by company policies for this position.
- Ensures all PO’s greater than authority limit are approved by Manager prior to being issued.
- Ensures PO’s have correct information recorded; cost center, material code, quantity, expected price, management unit, general ledger code, and tax code.
- Ensures packing slips have all required information; equip #, PO #, authorized signature, quantities, and price.
- Complete Good Receipt for all packing slips verifying all information on packing slip is correct and has been received.
- Ensure packing slip is sent to Accounts Payable for processing.
- Ensures credit slips have all required information; equip #, PO #, authorized signature, quantities, and price.
- Tracks parts cores for return and credits.
- Performs daily activities for flow of paperwork through repair, transport, payroll systems by maintaining accountability of all paperwork.
- Ensures source document accuracy and complete information such as labor, parts, and purchase order information is recorded on each document.
- Track DOT Daily inspections.
- Update spreadsheets of daily costs/Revenue for the trucks
- Setup municipal inspections of trucks annually
- Track permits
- Update service records of each truck
- Assist Equipment Manager for tracking and repairs.
- Performs daily activities needed to accurately manage assets.
- Performs other duties as assigned.
Qualification Requirements
- General. To perform this job successfully, an individual must be able to perform each Key Responsibility satisfactorily. - Education and Experience. This position typically is not an entry-level job, as it requires demonstrable previous experience as an Equipment Coordinator. A high school diploma or General Education Degree (GED) is required.
- Knowledge, Skills and Abilities.
- Strong customer-service skills.
- Minimum of 2 years of clerical equipment experience required.
- Demonstrated ability to provide efficient, professional equipment support, including strong problem-solving skills.
- Strong analytical skills, including an aptitude for managing detailed quantitative information.
- Computer proficiency and technical aptitude with the ability to utilize MS Word, Excel, and PowerPoint, as well as SAP.
- Excellent organizational skills, including the ability to establish priorities and meet deadlines under pressure.
- Physical Demands. The following physical demands are representative of those that must be met by an Equipment Coordinator to successfully perform the essential functions of this job.
- Required to sit; talk or hear, both in person and by telephone; operate standard office equipment; and reach with hands and arms.
- Ability to lift, on a frequent basis, at least 25 pounds and carry up to 15 pounds.
- Work Environment. The work environment characteristics described below are representative of those that an Equipment Coordinator encounters while performing the essential functions of this job.
- Work generally is performed in an office environment, although periodic visits to the various construction sites will be required.
- The noise level in the typical office work environment is quiet.
- Work in the field may involve a variety of substances commonly found on construction sites.
