The Tradeshow Coordinator is responsible for planning, coordinating, and executing all aspects of the company's participation in tradeshows, exhibitions, and industry events. This role ensures that the company’s presence at events effectively showcases its wastewater machinery solutions, strengthens brand awareness, and drives lead generation and sales opportunities.
ESSENTIAL DUTIES AND RESPONSIBILITIESEvent Planning and ManagementResearch, identify, and recommend relevant industry tradeshows and exhibitions.
Coordinate booth reservations, floor plan designs, and on-site logistics.Develop and manage event timelines, budgets, and checklists to ensure timely and cost-effective execution.Work with internal teams to determine booth layout, product displays, and technical requirements.Marketing and PromotionCollaborate with the marketing team to develop pre-show and post-show marketing campaigns.
Create and distribute promotional materials, including brochures, flyers, and digital assets.Ensure consistent brand messaging and visual identity across all tradeshow materials and displays.Vendor and Stakeholder CoordinationSource and liaise with vendors, including booth designers, printers, and equipment suppliers.
Manage relationships with event organizers and negotiate contracts and services.Coordinate shipping and handling of booth materials, product samples, and promotional items.On-Site Event ExecutionOversee booth setup, teardown, and day-to-day operations during events.
Act as the main point of contact for staff, vendors, and event organizers on-site.Ensure the proper functioning of equipment and displays, addressing any issues promptly.Lead Generation and ReportingWork closely with the sales team to capture and manage leads generated during events.
Track event performance metrics, including attendance, engagement, and ROI.Prepare detailed post-event reports with recommendations for future improvements.Performs other work-related duties as assigned.
SUPERVISORY RESPONSIBILITIESSupervise and coordinate activities of event staff including contractorsProvide training and guidance to booth staff on product knowledge, customer interaction, and lead capturing techniquesWORK ENVIRONMENTOperates in a professional office setting as well as on-site at various tradeshow venues, which may include convention centers, outdoor spaces, or industrial facilitiesInvolves working under deadlines and may require extended hours, including evenings and weekends, during event preparation and executionFrequent domestic and occasional international travel is requiredOn-site work may involve exposure to noise, crowds, and operational machinery, depending on the event environmentPHYSICAL DEMANDSThe characteristics described below are representative of those encountered while performing the essential functions of this position. Must be able to lift and / or move event materials (up to 50 lbs.)Ability to stand for long periods of time at trade showsHours outside of regular office hours may be necessary as workload dictates. This may include weekdays or weekends.Job will generally be performed in an office or trade show environment. Travel will be required, and conditions will vary at each location, but the conditions listed above will generally apply. Would need to be able to meet and follow all safety guidelines in the office as well as at trade show sites.
POSITION TYPE / EXPECTED HOURS OF WORKThis is a Full-Time, Non-Exempt position. May be required occasionally to work outside of normal 8 : 00 am-5 : 00 pm weekday work hours.
TRAVELThis position may involve frequent travel to fulfill the duties listed above. Some overnight stays will be required. An active driver’s license will be required to rent vehicles or drive a company fleet vehicle as required. A current passport is required for any international travel.
REQUIRED EDUCATION, EXPERIENCE AND SKILLSBachelor’s degree in Marketing, Event Management, or a related field3 years of experience in event coordination, tradeshow management, or a related roleProven experience supervising or managing contractors / vendors in a professional settingStrong organizational and project management skills with attention to detailExcellent communication and interpersonal skillsProficiency in event management tools, CRM software, and Microsoft Office SuiteAbility to travel domestically and internationally as requiredKnowledge of the wastewater or industrial machinery sector is a plus. Excellent written and verbal communication skills.Excellent organizational and time management skills.Pre-Hire : Ability to pass a drug test, background check as it relates to the role, and completion of an I-9 form.
