Administrative Assistant (Full-Time)
We are currently seeking a talented, highly organized, hardworking, self-driven, and family oriented Administrative Assistant that is an enthusiastic team player to help support our fast paced, growing child care center!
This is a full-time position that reports to the Director and requires the following availability:
- Monday through Friday
- Our Administrative Assistant contributes to the successful daily operations by being the main point of contact for others. This position is also responsible for enrolling / maintaining Brightwheel ® records, general clerical tasks, data collection, creation and publishing of monthly newsletter, general office management, greeting visitors, and providing classroom coverage as needed.
The Administrative Assistant position will need to have experience in the areas of secretarial, computer literacy, accounting, strong organizational and communication skills, and the ability to work with children, families, child care providers, and maintain confidentiality.
The employee may be required to run facility related errands and attend off-site meetings; the employee must be able to operate, maneuver and/or control a motor vehicle.
PRIMARY RESPONSIBILITIES:
- Create and manage children’s enrollment files,
- Create Enrollment packet for the parents/guardians,
- Prepare and maintain various reports and correspondences,
- Weekly submission of the electronic time sheet for payroll calculation,
- Complete monthly third-party billing,
- Answer all phone calls for the center,
- Help maintain licensing standards and company policies,
- Greet parents/guardians, and provide support,
- Perform required data entry,
- Make copies, post signs as needed,
- Assist children’s transitions as needed,
- Help manage office and general supply orders,
- Other duties and projects as assigned.
MINIMUM QUALIFICATIONS:
- Must be at least 21 years old,
- Works: Level III
- High school diploma or equivalent,
- Valid North Carolina Driver’s license with insurable driving record,
- Ability to meet and maintain North Carolina Child Care Licensing requirements, federal, and local guidelines including, but not limited to, fingerprinting clearance, negative TB test, and physician clearance.
- Ability to prioritize, manage, and complete multiple projects simultaneously in a timely manner.
- Excellent customer service, organization, and time management skills.
- Professional etiquette in verbal and written correspondence(s).
- Courteous, prompt, and attentive to detail.
- Able to work independently and be a self-starter.
- Maintain confidentiality.
- Ability to handle financial billing and collections.
- Strong technical skills.
- Ability to work accurately, independently and to handle multiple tasks simultaneously.
- Ability to frequently lift and carry a range of weight from ten (10) to forty (40) pounds.
PREFERRED CANDIDATES have experience / proficiency with the following: APPLICATION INFORMATION:
- Administrative, Administrative Assistant experience in a Licensed Child Care Facility in North Carolina,
- NC Early Childhood Education Credentials (Administrator).
- North Carolina Child Care licensing rules and regulations.
- Microsoft Office 2010 and above (i.e. Word, Excel, Outlook, Publisher, Access, etc.),
- Brightwheel software.
- QuickBooks ® Accounting software.
- NC Child and Adult Care Food Program (CACFP) requirements.
- Routine bookkeeping and clerical work involving the preparation and maintenance of bookkeeping or financial records,
- Staff scheduling.
- Actively seek to continuously update skills by attending outside workshops and conferences whenever possible.
- Constantly seek new ideas and materials for use in the classroom with the children or to share with other staff members.
