Essential Duties
- Assist with any calls, emails, or special situations for all TEAM members that need special attention to maintain the good experience for the customer
- Maintaining daily open repair orders for all advisors, and service managers.
- Notify management of all service telephone “hot” cases and resolve as instructed or turn over to manager(s)
- Confirm accurate technician repair documentation (3 C’s, etc…).
- Ensure all supporting documentation for repairs are attached to repair orders
- Contacting extended warranty companies for claim approval, discrepancies or other items required for claim payment
- Maintain schedules pertaining to extended service contracts, insurance receivables and other assigned items
- Post, review and verify the accuracy of journal entries and accounting classifications assigned to various transactions
- Assist the service TEAM with warranty information when needed
- Update open repair order lists weekly to ensure all work orders are received and closed
- Work with TEAM to ensure customers receive the best possible experience
- Definitive documentation and updates in DealerOps weekly
- Completing payroll for technicians, support personnel and other TEAM members as assigned; includes verifying, getting employees’ signature and then manager signature on completed payroll; payroll submission to HR by specified time
- End of month reporting and closing/preparing ROs, POs and other applicable documents for managers to sign off before closing.
- Complete assignments independently and perform accounting activities
- Analyze, interpret and report financial data as assigned
- Efficient in usage of Dealer Track, DealerOps, Excel, Word and other utilized software
- Other duties as assigned.
Qualifications:
- Strong Organizational Skills (ability to maintain all service and customer records as required by the dealer and manufacturer).
- Detail oriented (ensure proper documentation and verify criteria compliance as required by the dealer and manufacturer)
- Strong team player who thrives in a collaborative environment.
- Excellent communication skills.

- Two to four years related experience and/or training; or equivalent combination of education and experience.
- Ability to read, write and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Valid Driver's License
Physical Demands
- While performing the duties of this job, the employee is regularly required to sit at desk for prolonged periods of time; use hands to grab and reach files; type on a computer; and to talk or hear, both in person and by telephone.
- Employee must occasionally lift and carry office supplies up to 10 pounds.
- Employee is required to have visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal and expansive reading.
Work Environment
- This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
- Office setting is busy with frequent interruptions but noise level is usually quiet.
- Employee will spend long hours on computer entering financial information that requires attention to detail and high levels of accuracy.
