Summary
The Project Coordinator supports the Project Delivery Team, Project Managers, Superintendents, and Project Executives throughout the construction process utilizing project management software and administrative skills to ensure accurate and timely documentation flow, coordination of resources, equipment, meetings and information, serving as an integral component of the project, ensuring completion on time and within budget.
Position Responsibilities
- Provide administrative support to the Project Managers, Site Superintendents, and Project Executive
- Coordinate closely with the Project Accounting team for all financial matters – budgets, invoices and payments with subcontractors, and invoices and payments with clients/owners.
- Maintain all project paperwork and ensure that all tasks are done in an accurate and timely manner
- Oversee Subcontractor billing
- Act as point of contact between the subcontractor and project team (as it pertains to the subs contract/po, billing and change orders) assisting sub with Procore as needed
- Owner billing
- Subcontracts/PO’s
- Project Set Up
- Ascertain project attributes and contract requirements (tax status, MWBE, prevailing wage)
- Understand the type of owner contract that is executed (GMP, lump sum, etc.) and the type and nature of backup that is required to be provided with each owner requisition
- Gather all documents that will be needed for the project’s contract exhibits (i.e. drawing log, schedule, specs, tax forms, lien waivers, project specific docs)
- Set up folders (i.e. contract docs, subcontractors, HB pay applications)
- Set up the subcontract for the project (work with the Project Manager to check off boxes for all of the insurances, bonds, etc.)
- Write all RFI’s per Project Manager direction
- Manage all submittals as the “Submittal Manager"
- Return all reviewed submittals to sub
- Write all Change Orders (as a change event, sub and owner)
- Once change event is created, per the Property Manager direction, send to sub or owners as a change order via DocuSign
- Gather all closeout documentation (warranty, OM, training videos, as builts)
- Track which subs have submitted their closeouts
- Compile all submittals
- Gather all information onto flash drive for owner
- Send out retainage Pay Apps to subs
- Submit weekly maintenance reports to Project Manager
- Adhere to established Procore procedural policies implemented; make suggestions for improvements and enhancements as appropriate
- Print drawings as needed
- Maintain drawings updated in Procore
- Prepare for and attend owner/sub meetings
- Gather, type and distribute meeting minutes
- Provide backup phone coverage for reception desk
- Track and manage MWBE reports
- Assist project team as needed
- Work collaboratively and communicate effectively with other Project Coordinators and the accounting staff
- Participate constructively and positively in monthly staff meetings
- Build and maintain good relationships with clients and subcontractors
- Perform any other administrative functions necessary to ensure the successful completion of the project
Education, Experience and Skills:
- Strong communication and organizational skills
- Strong computer proficiency and intermediate knowledge of Microsoft Office Suite
- Proficient in Procore
- Ability to multi-task
- Associate’s or Bachelor’s Degree and/or minimum of 3 years’ equivalent experience
- Notary Public helpful
- Ability to function effectively in a collaborative work environment
