Job Description

Accounting Specialist : Freeport , Illinois

The Part-Time Accounting Specialist will handle the general accounting functions of Hughes Recruiting & Consulting and Hughes Industrial, including Accounts Payable, Accounts Receivables, and period-based booking entries and tax filings. The Accounting Specialist may also perform various administrative tasks.

Responsibilities of the Accounting Specialist :

Accounts Payable

Execute Accounts Payable function, including monitoring amounts for irregularity and accuracy while being cognizant of cost saving opportunities

KRA – enter incoming bills weekly, by Friday o KRA – cut payable checks weekly by Friday for any bills due in the next 12 days

KRA – complete Monthly AP Checklist within one week of the end of the month

KRA – secure completed W9 form from new AP vendors entered into QuickBooks

Accounts Receivable

Manage Accounts Receivable function, including making bank deposits and collection calls

KRA – bank deposits should be made by close-of-business daily for checks totaling $5K or more

KRA – enter ACH payments no less than bi-weekly for posted payments

KRA – monitor A / R balances weekly, calling any with a balance open past 30 days; maintain weekly contact, escalating to VP F &A at 40 days past due

KRA – immediately notify client when an invoice is skipped (payment received on a succeeding invoice)

KRA – create weekly email for Leadership to include bank balances, AR status by 30 / 60 / 90 days, detailed collection status of accounts due past 30 days

Bookkeeping

Execute week- / month- / quarter- / year-end processing of the accounting functions

KRA – week-end processing, including company financial tracking, must be completed within 1 business day of the invoice / check date

KRA – month-end processing must be completed within one week of the end of the month

KRA – pay and upload federal / state unemployment by the end-of-month following quarter end

KRA – all other reports (941’s, 940’s, end-of-year, W2 files, etc.) must be completed within 30 business days of the end of the reporting period

Complete New Hire reporting

KRA – run New Hire Report weekly and submit online to State of IL and State of WI

KRA – report Child Support employment terminations to State of IL weekly

Complete New Hire reporting

KRA – run New Hire Report weekly and submit online to State of IL and State of WI o KRA – report Child Support employment terminations to State of IL weekly

Accounting Specialist Qualifications and Personal Characteristics :

Requirements :

Accounting Certificate or relevant work experience

Experience with QuickBooks, or similar accounting software

Pay for Accounting Specialist : $22 - $28 per hour depending on experience.

Type : 1st Shift, Full-time

Schedule : General work hours are 24-25 hours / week between the hours 8am-5pm, Monday-Friday, working a minimum of 4 days / week. (i.e. options are 4 six-hour days; or 5 five-hour days)
