General Description
The HHA Administrative Analyst is a generalist position that offers analytical and practical support to the Housing Authority E.D., Board of Commissioners and Program areas. Duties may be diverse and vary depending on the need of the agency. Administrative Analyst should have skills in analysis, business writing, customer service and records maintenance. Administrative Analyst should also have specific areas of expertise of value to the agency such as: the ability to interpret regulations into local policy; or elevated ability in digital technology such as computers, phones, software, etc.; or project management experience.
Education and/or Experience:
· Bachelor's degree (B.A.) from four-year college or university with a major in Public or Business Administration or related field; a minimum of one year of related experience and/or training; or equivalent combination of vocational or tech education and experience.
· Combination of education and experience working with government regulated/funded programs for a period of 2 yr or more

Duties and Responsibilities include the following. other duties may be assigned.
· Assists in the development of department policies and procedures to assure compliance with Federal/State, and local directives and statutes and, as applicable,
procedures for department activities and programs.
· Provides administrative support for the Board of Commissioners of the Housing Authority of the City of Hugo
· Attends regular and special board meetings; coordinates preparation of materials for meetings and maintains all public records related to the meetings; coordinates
trainings as needed, for both Commissioners and employees; coordinates responses to requests from Board members.
· Schedules and coordinates internal and external meetings for the Executive Director; maintains the calendar and daily schedule; prepares materials as needed for meetings; communicates regularly with internal staff, public officials, community stakeholders and other parties to ensure Executive Director knows the purpose of schedules meetings and has all needed preparatory materials.
· Serves as travel coordinator for the Executive Director and Commissioners attending conferences and training; books airline tickets and arranges hotel accommodations within budgetary confines in accordance with Authority travel policy.
· Prepares letters, correspondence, reports, briefs, presentations and documents for Executive Director; assists in routine office procedures and projects as needed.
· Studies supervisory and management methods in order to improve the effectiveness and efficiency of workflow, documentation, and reporting procedures.
· Serves as custodian of official records and public documents.
· Plan, assign and direct work of staff in the Administration department.
· Assists in selecting, training, motivating, and evaluating assigned personnel; provides or coordinates staff training; works with employees to establish performance improvement plans. Other duties as assigned.
· Reviews and analyzes budget and program reports, and prepares and develops recommendations for improvements.
· Identifies administrative needs and develops appropriate solutions or recommendations.
· Conducts research and analytical studies, preparing reports that include cost analyses, comparative financial data, and informational data to support findings.
· Collects information, tracks indicators and assembles reports for required reporting to funding source agencies, such as HUD.
· Coordinates and assists with the writing of documents, procedural manuals, policies and grants.
· Assists with the procurement of contracts or equipment for the agency.
· Installs and maintains computer hardware and software such as camera equipment, key cards, gates etc.
· Maintains software licenses for the agency

· Knowledge of principles of supervision, training and performance evaluation.
· Ability to prepare business correspondence and written reports.

· Possess a high degree of proficiency in Microsoft Office products, including Word, Excel and Outlook and otherwise to be effective without close clerical support.
· Ability to troubleshoot hardware/software issues involving camera systems, proximity cards, office equipment etc.
· Knowledge of server maintenance
