Summary of Duties
The Program Coordinator is responsible for providing exquisite customer service. You will be tasked with meticulously scheduling and confirming transportation appointments, ensuring a seamless and efficient process for our clients. Your involvement in the daily operations of our island-wide transportation services across all HMONO locations is crucial. In this role, you will collaborate extensively across the organization fostering a harmonious team environment. Your efforts are directed towards two primary objectives: achieving unparalleled client satisfaction and contributing significantly to the enhancement of our community.
Duties and Responsibilities
Program Development & Implementation:
- Schedule and confirm all transportation appointments and assigns drivers based on availability.
- Coordinate transportation services with the transportation team, ensuring safety and efficiency at all times.
- Provide information to callers requesting information about transportation services.
- Refer callers to appropriate teams for program enrollment and information.
- Manage resources and reference information associated with transportation needs.
- Ensure transportation staff are adequately informed, trained, and developed.
Assessment & Evaluation of services:
- Assist the Program Manager in developing tools to measure, monitor, assess, and evaluate transportation services.
- Assist in overseeing data collection processes.
- Assist in assessing outcomes for efficiency.
- Assist in evaluating the quality of services being delivered and client satisfaction.
- Monitor data collection to ensure data integrity and reporting.
Assist with the coordination of vehicle maintenance, repairs, safety checks, and registration renewals:
- Obtain quotes and submit Purchase Requests to Finance Department for approval.
- Schedule appointments for vehicle maintenance, repairs, safety checks, etc. Coordinate with transportation team to get vehicles to appointments.
Assist with obtaining office supplies and program supplies for Transportation Department:
- Conduct monthly status check of fire extinguishers and PPE in vehicles.
- Submit Purchase Request forms to Finance Department and assist with items that need to be added to inventory/asset list.
Perform other duties as assigned.
Knowledge and Abilities Required
- Knowledge of community health issues, chronic diseases, and available services.
- Demonstrated record of successful program development, implementation, and evaluation.
- Demonstrated ability to plan, organize, and carry out a broad range of administrative and programmatic and management functions.
- Ability to think critically and exercise good judgement in making informed decisions.
- Demonstrated ability to work and collaborate with others internally and externally.
- Excellent written and oral ability to communicate with external and internal contacts.
- Ability to sit and work at a computer for extended periods of time.
- Must be able to lift and carry 40 lbs.
Minimum Qualifications
Education - Associate degree in office administration or related field; or high school diploma with four years of relevant experience.
Experience - Two or more years of clerical experience. Two or more years of experience using web-based applications, word processing, and spreadsheets. Familiar with Microsoft Office systems to include Word, Excel, Publisher, PowerPoint, and EHR (Electronic Health Records).
Must be detail-oriented with strong organizational and time management skills and demonstrated ability to multitask effectively in fast paced environment within resource constraints and deadlines. Must possess exceptional interpersonal skills.

- Personal reliable vehicle with current insurance and registration

Preferred Qualifications
- Familiar with HMONO's mission, programs, and services.
- Possess a working knowledge of Native Hawaiian culture, traditions, history, and current events. Keep abreast with Native Hawaiian issues and current events.
- Experience in eClinical Works.
