JOB TITLE: Administrative Asst./Data Entry Clerk
DEPARTMENT: Senior Services
PROGRAM: Multipurpose Sr. Srvcs. Program (MSSP)
STATUS: Full-Time; Non-Exempt
REPORTS TO: MSSP Site Director
HOURS PER WEEK: 40
TERM: 12 months
POSITION SUMMARY:
Under the supervision of the MSSP Manager, provides administrative support for the activities related to the State/local MSSP contract.
DUTIES AND RESPONSIBILITIES:
- Assist with weekly, monthly, and quarterly reporting as needed.
- Clerical assistance for all facets of department programming.
- Process, create, track and upload billing per contractual requirements.
- Track and report MediCal eligibility to Supervisor as requested.
- Entering of data onto MSSP Care database.
- Conduct initial intake/screening for potential care management services.
- Maintain central log to track referrals.
- Complete follow up calls as needed with participants/families/referral sources.
- Provide general and referral information as needed to callers and/or community walk-ins.
- Review & reconcile invoices and process for payment.
- Assist with general expense tracking & oversight of vendor lists.
- Other related duties, as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Excellent verbal and written communication.
- Bilingual English/Spanish required.
- Proficient in Microsoft Office programs (Word, Excel, Outlook).
EDUCATION AND EXPERIENCE:
- High school diploma or equivalent; Associate of Arts degree in related field, preferred.
- Prior Experience working with senior citizens highly desirable.
LICENSING/CERTIFICATION REQUIREMENTS:
- Occasional driving is required. Must provide your own vehicle, valid California Driver’s License and proof of full insurance coverage.
- Negative tuberculosis screening.
- We require the selected candidate to undergo a criminal background check using the Live Scan fingerprinting method in compliance with applicable laws and regulations.
WORK ENVIRONMENT/PHYSICAL DEMANDS:

- Work in moderate noise levels and non-smoking environment
- Ability to occasionally lift and/or move up to 25 pounds independently
- Frequently involves sitting, standing, walking, squatting, bending, and climbing stairs (as needed)
- Occasionally may be required to stoop, kneel, crouch, or crawl
- Must be able to speak and hear clearly to communicate effectively
- Constantly operates a computer, keyboard, and other various office machinery
- Majority of job duties are performed onsite; however, visits to different sites may be required

COMPENSATION:
In accordance with California law, the expected pay range for this position is posted with this position. The actual compensation will be determined based on experience and other factors permitted by law.
