We are seeking a detail-oriented and highly organized Bookkeeper & Office Manager to oversee financial and administrative functions in our foster care agency. This role ensures efficient office operations while managing accounting processes, payroll, collections, and reporting. The ideal candidate is proficient in Paychex, QuickBooks, Extended Reach, Waystar Clearinghouse, and Microsoft Office Suite, with experience in accrual and simple cost accounting, medical billing, and compliance testing.
What You Will Do
- Manage all accounting functions, including accounts payable, accounts receivable, payroll, collections, and general ledger activities.
- Manage budgeting and financial reporting to track expenses and revenue.
- Reconcile bank statements and maintain accurate financial records.
- Manage foster parent payroll, foster care reporting, and medical billing/foster care billing.
- Handle year-end compliance testing and 401(k) administration.
- Prepare financial reports and assist with budgeting.
- Maintain and update company equipment inventory.
- Support the Executive Director by managing administrative and operational tasks to ensure efficiency.
- Ensure compliance with industry regulations and maintain confidentiality of all client and employee information.
- Utilize various software including Paychex, QuickBooks, Waystar, and Extended Reach.
- Oversee general office management duties to maintain a productive work environment.
- Requires regular and predictable attendance and punctuality.
- Performs other duties as assigned.
- Minimum of two years of experience in accounting, payroll, and office management, preferably in a similar industry.
- Strong knowledge of accounting and finance principles, including accrual and simple cost accounting.
- Proficiency in Microsoft Office Suite, Google Suite, Adobe, and CRMs/EDM.
- Experience working with regulatory and certification agencies.
- QuickBooks (QuickBooks Online preferred)
- Paychex experience preferred.
- Medical billing experience preferred.
- Strong analytical skills, attention to detail, and ability to multitask.
- Experience with foster care reporting, foster parent payroll, and medical billing.
- Familiarity with ADT security and Waystar Clearinghouse.
