JOB DESCRIPTION
Customer Service Attendant
*Preferred - bilingual in Spanish*
Reports to: Office Manager
General Overview: The Customer Service Attendant is a key member of the clerical team and applies her/his skills to ensure quality service to support staff and the general public. Performs specific duties as assigned by the office manager to ensure most effective use of staff time and resources and to support overall administrative functions of the organization.
Because this is a front line staff position working closely with staff, volunteers and the public, must maintain a pleasant, welcoming atmosphere that reflects professionalism and commitment to support the work of staff and volunteers.
Major Responsibilities - Clerical Team Shared Duties:
1. Is knowledgeable of posted Front Office Protocols.
2. Processes all paperwork for adoptions, strays, animals brought to the shelter, return to owners, etc. and helps with scheduling of adoptions.
3. Prepares support materials to be distributed to potential adopters – “goody bags”, information pieces, etc.
4. Helps direct potential adopters to do additional study of breed of animal adopter is considering, exploring ways to assimilate new pet into home and to consider the long term needs and commitment of owning a pet.
5. Ensures adopters are aware of the contract expectations and reviews this information with each adopter.
6. Conducts follow up calls to adopters to ensure wellness vet appoints have been completed and to help direct adopters in answering questions they may have.
7. Fields calls from the public regarding complaints, bite cases and other animal control issues ensuring logging of said complaints and ensures they are distributed to animal control officer on duty.
8. Ensures appropriate entry of all data as necessary, keeping data base up to date.
9. Files necessary forms, applications, rabies certificates and other information as required and helps with management of files to fulfill record retention requirements.
10. Prepares information on owner euthanasia requests.
11. Closes out cash register and prints reports for accounting.
12. Cleans front office every morning and education room at least weekly.
13. Ensures office cats receive food and water and litter boxes are maintained.
14. Processes trap rentals.
15. Processes food assistance program requests.
16. Answers phones and transfers or takes messages as necessary.
17. Reviews e-mail sent to general information e-mail address and answers those which can be addressed by front office staff. Forwards other e-mails as necessary to appropriate staff member.
18. Receipts payments and donations and ensures proper accounting of all incoming funds.
19. Provides general information to the public regarding HSEC services and events, fees and other general questions.
20. Maintains confidentiality of HSEC records, files and donations.
21. Ensures office is secured each evening.
22. Assists with sale of cemetery plots and headstones.
23. Creates information cards for adoption cages as needed.
24. Performs specific functions as may be assigned by the office manager to ensure greater efficiency in office management.
25. Performs other duties as assigned to ensure support and fulfillment of the organization’s goals and objectives.

All employees must be able to provide their own transportation to and from work.
Must be capable of managing and handling large packages including items weighing in excess of 40 pounds.
Hours: 30 to 40 hours per week
Classification: Full Time Administrative – Non-exempt

Pay: $14.00 - $16.00 per hour
