Supervisor: Animal Care Supervisor
General Description:
The Front Desk Receptionist is responsible for greeting the public, answering incoming calls, responding to general inquiries and overseeing adoption transactions. Additionally, the Front Desk Receptionist provides clerical support to the Animal Care Supervisor and/or the Executive Director and maintains front office files, community outreach reference resources and the front office appearance.
Principle Duties and Responsibilities:
- Provides a positive image and atmosphere for HSNWMT by providing friendly, helpful assistance to those visiting or phoning the Adoption Center.
- Provides timely and effective processing of daily incoming voice mail messages, phone calls and emails.
- Answers general inquiries in a concise manner and provides the public with community referral information.
- Maintains front desk files, animal welfare reference materials and Adoption Center forms; Lost & Found book and bulletin board
- Assists with animal in-take and adoption process paperwork; acquire surrender forms, verify health records, verify adoption applications, set-up adoption appointments, conduct adoption transactions.
- Maintains daily transaction records, adoption & purchase transactions and gift-in-kind donations.
- Maintains a clean and clutter-free front office area; organizes merchandise shelves and displays.
- Responsible for housekeeping/cleaning in the reception lobby, hallway, restrooms and conference room; cleaning, dusting, vacuuming, doors, floors, glass, mirrors, and emptying trash.
- Responsible for front office closing; log off computer, lock front doors, turn off front office lights
Work Environment:
- Potential for exposure to environmental factors such s temperature variations, high noise levels, zoonotic diseases, animal waste, hazardous chemicals or chemical materials requiring OSHA Material Safety Data Sheets, sharp objects and potential hostile persons and/or dangerous and fractious animals.
Physical Requirements:
- Ability to remain active during entire shift and/or sit for extended periods of time
- Ability to lift and carry objects and animals of moderate weight
- Ability to lift, bend, stoop, kneel, crouch, push and other strenuous activities
Additional:
- Adheres to the policies, procedures and guidelines outlined in the HSNWMT Policies and Procedures Manual.
- Works cooperatively with all staff members and volunteers at all times.
- Follows all established procedures and protocols for the safety and well-being of the animals and all those caring for the animals, and for the smooth operation of the adoption center.
- Maintains courteous, kind and professional manner in interacting with members of the public, board members and volunteers of the organization, coworkers, supervisors, and supervisees.
- Responds to the immediate needs of the organization and will from time to time be asked to perform tasks outside those requirements specifically addressed in this job description. May be asked to participate in offsite adoption or tabling events.
- Performs other tasks as assigned by the Animal Care Supervisor and/or the Executive Director.
Job Type: Part-time
Pay: From $16.00 per hour
