Job Purpose:

The Development Coordinator is a proactive, collaborative, and diligent professional who plays an essential role in the successful operation of HSSA?s Development Office, which is responsible for raising nearly $4M in lifesaving revenue each year.


Working closely with Finance and Development colleagues, the Development Coordinator processes all donations, enters and updates donor data into HSSA?s Customer Relationship Management software (CRM), and ensures donors receive timely tax receipts and acknowledgments. By ensuring donors are treated with appreciation and accuracy, the Development Coordinator helps ensure HSSA has the funding it needs to serve thousands of pets and people in our community each year.


In addition to being the backbone of the Development Office?s critical donor data-entry and acknowledgement functions, the Development Coordinator provides broad support to the Development Office. For example, the Development Coordinator will help execute special fundraising campaigns like Arizona Gives Day, events like quarterly donor open houses, and priority projects, such as preparing monthly board reports and annual Guardian Angel program mailings. Eager to learn and versatile, the Development Coordinator provides exceptional customer service to donors, colleagues, and other stakeholders and serves as a customer-service model for the organization.


This is a primarily on-site position, with occasional evening and weekend work required to accommodate special events and seasonal giving spikes.

Essential Duties and Responsibilities:

  • Works closely with the Director of Development to maintain accurate and up-to-date donor data in the organization?s CRM and other donor software, like Classy.

  • Processes all incoming donations, including in-kind gifts, and collaborates with the Finance Department to receive and sort mail and accurately enter donor and donation information into the donor database.

  • Creates, prints, and mails accurate, timely, and personal acknowledgment letters and tax receipts.

  • Provides general support to the Development Office, including assisting with special events, accepting donations at the shelter and in the community, and working on other priority projects as assigned.

  • Provides exceptional customer service to donors at all levels over the phone, in writing, and in person, and models collegiality across HSSA teams.

  • Generates mailing lists for direct mail appeals, special events, and other development outreach activities.

  • Conducts database system back-ups, troubleshoots challenges, and performs routine monitoring of the CRM.

  • Acquires a high level of knowledge of the organization?s donor databases and other software tools, serving as a training and knowledge resource for other development staff members and volunteers.

  • Supervises the work of Development volunteers, ensuring volunteers have the guidance they need and quality expectations are met.

  • Updates donor records to ensure accuracy, including donor contact information, relationships, communication preferences, etc.

  • Assists with customized reporting and analysis, including financial reconciliation reports and overviews of donor giving.

  • Performs other duties as assigned.

Minimum Qualifications:


  • Bachelor?s degree, associate?s degree, or equivalent experience.
  • Experience working with customer relationship management (CRM) systems.
  • Proficiency in the Microsoft Office software suite, especially Word, Outlook, and Excel.
  • Demonstrated ability to respond to personal information with accuracy, confidentiality, timeliness, and due diligence.
  • Excellent project management skills, with the ability to take a project from assignment to completion.
  • Ability to work in response to frequently changing priorities.
  • Proactive, creative problem solver with excellent analytical and research skills.
  • Excellent written, verbal, and interpersonal communication skills, and exceptional customer-service skills.
  • Dependable, with well-developed organizational and time management skills.
  • Ability to work as a member of a team and independently.
  • Ability to work effectively and communicate well with internal and external stakeholders.
  • Possession of a valid Arizona driver?s license and driving record acceptable to HSSA insurance carrier.

Preferred qualifications:

  • Experience working with customer relationship management (CRM) systems in a nonprofit setting.
  • Experience working in a nonprofit.
  • Experience working in a nonprofit development office and providing direct service to donors.
  • Experience using Salesforce, Classy, and Asana.
