HumanIT Solutions is seeking a local Office Assistant. The ideal candidate is willing to work onsite and be a hard-working professional who is a self-starter with the ability to undertake a variety of office support tasks while working diligently with deadlines. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.The person in this position will support the Leadership Team and be responsible for the following:
- Organize office and assist associates in ways that optimize procedures
- Sort and distribute communications in a timely manner
- Create and update records ensuring accuracy and validity of information
- Track and monitor small financial transactions
- Establish positive working relationships with stakeholders
- Data entry of receipts and bills into quickbooks.
- Schedule and plan meetings and appointments
- Monitor level of supplies and handle shortages
- Resolve office-related malfunctions and respond to requests or issues
- Coordinate with other departments to ensure compliance with established policies
- Maintain trusting relationships with suppliers, customers and colleagues
- Perform receptionist duties when needed included but not limited to: answering door, monitoring general company line, shipping/tracking/receiving office shipments. Greet guests with a warm welcome and process them through our sign in process
- Verify, code and process employee expense and time reports
- Process approved per diem check requests and tuition reimbursement
- Process monthly payments
- Assist in performing bi-weekly check runs
- Scan and file accounting documents
- Support other accounting functions as necessary
