Right now we’re looking for a Full-time Labour Relations Assistant in the Human Resources Department

 

Reporting Relationship:  Director, Employee/Labour Relations

 

 

 

Responsibilities: 

  • To provide assistance and support to the Labour Relations Department for labour relations matters, including grievance management in an aadministrative capacity.
  • Participate in grievance processes in an Administrative capacity for the Labour Relations Departments
  • Maintain case filing system, including general information, grievances, HRTO files and general office files
  • Respond to inquiries and guide interpretation of ESA and collective agreements to leaders, employees, and HR personnel; train HR staff in the grievance process
  • Prepare and distribute supporting case documentation and correspondence (e.g. requests for union leaves); log and review file contents for accuracy and completeness
  • Collect information and prepare case files in advance of employee/management meetings
  • Track progress toward resolution against predetermined time limits
  • Coordinate grievance meetings in accordance with collective agreement and/or Ministry of Labour Employment Standards Act (ESA) Section 48 or 49 requirements)
  • Record notes arising from attendance at grievance meetings; prepare Union correspondence
  • Prepare budgetary and financial materials used for leadership decision-making
  • Log Minutes of Settlement (MOS)
  • Facilitate and/or process tasks outlined in minutes of settlement (MOS) terms, including settlement payments with Finance, Payroll, Occupational Health & Safety (OH&S), HR staff, etc
  •  Prepare and reconcile union billing with Accounts Payable
  • Prepare and distribute supporting case documentation and correspondence (e.g. requests for union leaves); log and review file contents for accuracy and completeness
  • Collect information and prepare case files in advance of employee/management meetings
  • Track progress toward resolution against predetermined time limits
  • Coordinate grievance meetings in accordance with collective agreement and/or Ministry of Labour Employment Standards Act (ESA) Section 48 or 49 requirements.
  • Record notes arising from attendance at grievance meetings; prepare Union correspondence
  • Prepare budgetary and financial materials used for leadership decision-making
  • Log Minutes of Settlement (MOS)
  • Facilitate and/or process tasks outlined in minutes of settlement (MOS) terms, including settlement payments with Finance, Payroll, Occupational Health & Safety (OH&S), HR staff, etc
  • Provide settlement costing data (legal and other fees); track settlements to identify trends
  • Prepare and analyze data, statistics, and reports for use in management decision-making
  • Analyze internal and external labour relations trends and developments (e.g. leaves of absence, trends in arbitration vs. mediation etc.) to identify trends, analyze impact, recommend items for investigation, and develop action plans to address patterns and issues
  • Assist Manager and  more senior labour relations staff with collective bargaining process
  • Recommend updates to collective agreements in collaboration with HR colleagues (e.g. bargaining surveys); maintain collective agreement text (i.e. update, proofread, produce (print), and distribute to stakeholders)
  • Other duties as assigned

 

Requirements:

  • Diploma in Human Resources or relevant discipline from an accredited college required
  • CHRP/CHRL designation preferred, or working towards it
  • Minimum1  year relevant work experience in administration and LR in a unionized environment required, healthcare preferred
  • Excellent computer skills (MS Office (Outlook, Word, Excel, PowerPoint, etc.)
  • Ability to work independently and collaboratively within a team
  • Ability to multitask in a fast paced environment
  • Excellent customer service, time management, communication, attention to detail, relationship management, critical evaluation, interpersonal
  • Excellent communication and interpersonal skills
  • Proven decision making and problem solving skills
  • Ability to handle sensitive and confidential issues/information in a professional manner
  • Excellent attendance and discipline free record required.

 

Location:  Wilson site

Hours of work: Days, occasional evenings/weekends
