Hunton Andrews Kurth LLP, an international law firm, is actively recruiting a Records Technician in our Houston office. This position is responsible for the firms’ client records at all stages including creation, retention, storage, retrieval, protection and final disposition. Follows all Records Management policies and procedures.
RESPONSIBILITIES AND ACCOUNTABILITIES:
- Promotes and supports the Client File Maintenance Policy. Communicates effective process for barcoding all files from inception throughout the life of the client matter to staff and lawyers. Promotes electronic filing in EMF.
- Responsible for organizing and processing client files to be destroyed or returned to client in accordance with client’s instructions and client file retention process.
- Works closely with incoming lawyers on the appropriate intake of client files as assigned. Ensures all client and administrative files for departing lawyers are handled in accordance with Firm procedures.
- Processes file transfers in accordance with client file transfer process.
- Utilizes records management software system. Follows established procedures.
- Ensures best practices are followed for sending client and administrative files to offsite storage. Ensures incoming files are reviewed to validate file contents are in line with best practices.
- Maintains confidentiality regarding sensitive material.
- Performs special projects as needed.
QUALIFICATIONS:
Education: High school diploma or equivalent required. College degree preferred.
Experience: Minimum of two years’ general office experience. Experience in a law firm or other professional services setting preferred.
Other Minimum Qualifications: Experience with computer databases and records or file management systems preferred. Ability to generate a large volume of work and pay strict attention to detail. Must have strong organizational skills, and exhibit exceptional verbal communication and listening skills. Physical effort is required for long periods of standing, moving and lifting of boxes or materials weighing up to 25 pounds. Ability to work well under pressure, patience, diplomacy, high stress tolerance, ability to prioritize workload and adapt to changing conditions. Visual acuity needed for transcription, extensive reading and input (typing) of information into computer. Ability to receive and convey detailed information through oral communication. Essential competency processes include language ability, reasoning and memory. To perform this job successfully, the incumbent must possess the abilities or aptitudes to perform proficiently each of the responsibilities and accountabilities described above, with or without reasonable accommodation.
