The Huntsville Learning Center is a Christ-centered organization that partners with schools, families, and our community to help students with limited opportunities become spiritually aware, lifelong learners, responsible citizens, and high school graduates through programs focusing on Biblical knowledge, mentorship, and academic support.
Overview
The Volunteer Coordinator is responsible for recruiting, scheduling, training, and supervising all volunteers. The volunteer coordinator will work in the office Mondays 10:00-6:00 pm, Tuesdays-Thursdays 2:00-6:00 for the After-School Program, plus additional hours as scheduled, including tours, special event attendance, and Summer Programs. Additionally, the Volunteer Coordinator may need to be available remotely for a couple of hours a day. The volunteer coordinator is responsible for showing God’s love to each volunteer and student by developing honest, meaningful relationships with them and providing a stable and calm environment.
Position Requirements
- Belief in the mission of HLC and demonstrated Christ-like character
- Post-secondary education a plus
- Solid computer skills (Microsoft Office, e-mail, G-suite, web-based applications, and mobile device applications)
- Effective written and verbal communication skills
- Organizational skills
- Serve and support volunteers with a hospitable and professional demeanor
- Maintain confidentiality per FERPA and HIPPA regulations
- Valid driver’s license and clean driving history
- Ability to pass a background check and drug screening
Duties and Responsibilities
o Recruiting
- Recruit and vet volunteers
- Recruit bible study teachers to assist lead teachers
- Recruit volunteers to provide snacks, typically one day/month
- Attend and host recruiting events within the community
- Develop and maintain relationships with volunteer organizations (The United Way, churches, universities, fraternities, sororities, school clubs, etc.)
- Utilize Better Impact or other volunteer platform for recruiting, scheduling, and communicating.
o Scheduling and Communication
- Provide the executive director with input for the monthly director’s report to the board of directors (current number of volunteers, new contacts, presentations, etc.)
- Act as a single point of contact for volunteer communications: time-sensitive messaging, email correspondence, maintaining the event calendar
- Work with the Director and other staff members to determine volunteer needs, such as a specific number of volunteers, one-on-one, etc.
- Encourage volunteers to give feedback, either in person or through the MyImpact App, at the end of their shift.
- Proactively confirm volunteer schedules in advance and coordinate changes and replacements, particularly regarding volunteers providing snacks or meals
- Work with volunteers to resolve conflicts and promote cooperation
- Manage special and large groups volunteering together
o Volunteer Orientation and Training
- Create/maintain volunteer orientation materials
- Create/keep volunteer job descriptions
- Schedule and lead volunteer orientations, which are ongoing throughout the school year.
- Provide facility tours
o Volunteer Appreciation
- Plan volunteer appreciation events and activities
