POSITION SUMMARY: The Production Administrator provides operational and administrative support to the production and safety departments while also assisting with cross-functional tasks in operations and human resources. This role is responsible for maintaining accurate records, coordinating compliance processes, and supporting daily operational activities within the mechanical and industrial industries. The Production Administrator plays a key role in organizing documentation, tracking materials, ensuring compliance with safety and union requirements, and facilitating effective communication between departments and external vendors.

- Maintain and update the weekly production schedule, production records, and variance reports.
- Take meeting notes, distribute minutes, and assist with pre-job, post-job, and foreman meetings.
- Utilize Jonas to generate reports, purchase orders, and other documents.
- Process timecards for union compliance.
- Track and inventory materials, including vending machine stock and weekly gas orders.
- Order and maintain records for production apparel distribution.
- Schedule and track drug testing and weld certification reports.
- Send out work order updates and apprentice reviews, uploading them to the OMS portal.
- Manage Rivet software for workforce management and scheduling.
- Add and update drivers in Enterprise, ensuring correct truck assignments.
- Manage vehicle records in Jonas and oversee GPS tracking in GEOTAB.
- Order GPS units and conduct weekly truck audits.
- Assist with new hire orientation.
- Serve as the primary contact for the ABC insulator apprentice program.
Safety Responsibilities:
- Coordinate toolbox talks, PPE distribution, and safety training.
- Maintain safety records, update documentation, and manage Rivet and ISN systems.
- Assist foremen with Autodesk for safety forms.
- Perform special assignments and projects as needed.
KNOWLEDGE, SKILLS AND ABILITIES:
- High school diploma or GED equivalent.
- Prior experience in the mechanical, industrial, or construction industry preferred.
- Strong analytical, mathematical, and problem-solving skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and other computer applications for email, spreadsheets, and internet research.
- Strong organizational skills with attention to detail and accuracy.
- Effective interpersonal and communication skills to work collaboratively across departments.
- Knowledge of safety practices is a plus.
- Proven track record of excellent attendance and reliability.
- Self-motivated with the ability to take initiative and offer assistance proactively.
- Enthusiastic, dependable, and a strong team player with a positive attitude.
