Overview: As the Executive Assistant and Board Secretary for the Community Bank President, you will play a pivotal role in supporting the President's day-to-day operations and ensuring the efficient functioning of the executive office. Additionally, you will serve as the Secretary for the Board of Directors, managing all board-related communications and activities.
Responsibilities:
1. Executive Support:
• Provide comprehensive administrative support to the Community Bank President, including managing calendars, scheduling appointments, and organizing meetings.
• Prepare and edit correspondence, communications, presentations, and other documents.
• Coordinate travel arrangements and itineraries.
• Handle confidential information with discretion and professionalism.
2. Board Secretary Duties:
• Serve as a point of contact for the Board of Directors, managing communications and inquiries.
• Organize and prepare materials for board meetings, including agendas, reports, and presentations.
• Attend board meetings, record minutes, and ensure accurate documentation of discussions and decisions.
• Maintain official records and documents, including board resolutions, meeting minutes, and policies.
• Facilitate communication between board members and executive management.
• Coordinate board-related events and activities, such as annual meetings and retreats.
3. Administrative Support:
• Assist in the preparation and execution of strategic initiatives, special projects, and bank events.
• Manage office supplies, equipment, and facilities to ensure smooth operations.
• Handle incoming calls, emails, and inquiries, directing them appropriately.
• Perform other duties and responsibilities as assigned by the Community Bank President.
• Maintain accurate and up-to-date human resource files and records for bank employees.
• Support HR-related projects and initiatives as needed.
Qualifications:
• Proven experience (5 years) as an administrative assistant, preferably in the banking or financial services industry.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite and other relevant software.
• Ability to multitask and prioritize tasks effectively in a fast-paced environment.
• Discretion and professionalism when handling sensitive information.
