RESPONSIBILITIES:
Processing Incoming Transcripts
- Retrieve and review electronic and mailed transcripts daily.
- Enter transcript data accurately into the student information system.
- Scan transcripts into the Advising Transfer Transcript Folder daily.
- Organize and file transcripts in designated locations.
Managing Transfer Activities
- Evaluate incoming college transfer coursework as requested.
- Process transfer requests promptly daily.
- Utilize technology to provide course descriptions for evaluators.
- Record evaluator transfer equivalency decisions in a relational database.
- Address and resolve transfer-related inquiries, ensuring timely communication with all stakeholders.
Coordinating Outgoing Transcripts
- Process transcript requests received via electronic submission, mail, or fax.
- Send transcripts through The National Student Clearinghouse.
- Handle additional transcript requests, including overnight, USPS, or in-person requests.
- Communicate effectively to resolve transcript-related issues.
Additional Responsibilities
- Contribute to innovation initiatives aimed at improving the student information system.
- Manage student enrollment verifications, both electronic and paper.
- Assist in answering calls on the Records Office’s designated phone line.
- Apply critical thinking and problem-solving skills to daily tasks.
- Ensure accuracy and confidentiality when handling sensitive data.
- Arrive on time for work, attend work regularly, and successfully complete the responsibilities of the position.
- Maintain punctuality and fulfill all job expectations.
- Adhere to all HutchCC policies, procedures, and practices.
Secondary-
- Perform other responsibilities as assigned by the Registrar and/or Assistant Registrar.
QUALIFICATIONS:
- High school diploma or equivalent required; Associate Degree preferred.
- Computer experience is required. Word processing and spreadsheet experience is required. Experience with POISE (student database) or other information management software is preferred.
- Experience working directly with people and the ability to work effectively with many people is preferred.
- The selected applicant must be neat, dependable, have work initiative, work amiably with others and can follow directions.
- Physical requirements include the ability to operate office equipment and to perform mathematical calculations; excellent verbal, written and listening skills; sit or stand for extended periods of time; exhibit manual dexterity to dial a telephone, enter data into a computer, and operate additional office equipment; see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal levels and on the telephone; speak in audible tones so that others may understand clearly in person and on the telephone; use appropriate judgment and to apply tact and courtesy in difficult situations; understand words and respond effectively and appropriately; attentive to detail, accurately follow written and verbal instructions, work independently, sedentary/indoor work environment with a substantial amount of keyboarding required.

HOURLY WAGE and STATUS:
The hourly rate of pay is commensurate with qualifications as determined by HutchCC administration. This full-time support staff position is 12 months annual, benefit eligible, at-will, and nonexempt.
