We are expanding our operations in the U.S. and seeking an experienced Event/Conference Planner to join our team in Las Vegas.
Role Overview:
We are looking for an energetic Event/Conference Planner to join our team in Las Vegas, NV. This is a full-time, on-site role where you will manage all communication and logistics for events, acting as the liaison between clients, venues, and event organizers. Whether you're an experienced professional or a recent graduate, you will have the opportunity to grow in this role while ensuring the successful execution of events.
Key Responsibilities:
- Track client registrations and ensure they receive necessary information and updates.
- Research, coordinate, and book meeting and conference spaces for events, ensuring suitability for client needs.
- Serve as the primary point of contact between clients, event organizers, and venues, managing all communication and logistics.
- Purchase event spaces for client venues and coordinate hotel room bookings for attendees.
- Negotiate contracts with venues and vendors, ensuring favorable terms and accuracy.
- Track all event details, logistics, and expenses in Google Sheets and the company’s internal project management system.
- Provide prompt service by addressing client requests with a sense of urgency.
- Track and report on expenses, receipts, and costs associated with each event.
- Suggest and implement ideas for process improvements.
- Provide logistical and administrative support as needed.
- Prepare detailed reports for internal project management and event reviews.
Qualifications:
- Bachelor's degree in Event Management, Hospitality, Communications,Graphic Design or a related field.
- New graduates with a passion for event planning and strong organizational skills are encouraged to apply.
- Excellent negotiation skills and experience reviewing contracts.
- Ability to manage multiple tasks simultaneously, with high attention to detail.
- Strong interpersonal and communication skills, both written and verbal.
- Proficiency in project management tools and systems.
Preferred Qualifications:
- Bilingual in Chinese and English is highly preferred due to the global nature of our clients and partnerships.
- Previous experience in the hospitality or event planning industry is a plus.
