The Purchasing Coordinator assists with handling the hotel procurement operations such as submitting Purchase orders, receiving merchandises, processing requisitions, invoices and remittance. The Purchasing Coordinator must ensure that the inventory in BirchStreet system is updated in real-time according to invoices and item delivery. The R/S also ensures completion of the payment process for all outstanding invoices.
Position Responsibilities / Essential Functions
- Receive and process invoices for payment via BirchStreet system
- Verify accuracy of all items and prices on invoices received for Purchase Order fulfillment
- Rectify discrepancies on all invoices prior to processing
- Tracking invoice process through to payment
- Management of vendor payment schedule
- Maintenance of Birchstreet Supplier Records
- Establish priority payment for invoices due within 30-day credit limit
- Online payment records maintenance and statement reconciliations
- Physically receive daily deliveries i.e. Food & Beverage Inventory, Hotel Supplies and Products.
- Daily management of Food Cost in our financial reporting
- Listed responsibilities aren't exhaustive, and the purchasing coordinator may be asked to take on additional tasks as needed to support the organization’s goals.

Qualifications
- Verbal and written Communication Skills
- Possess a minimum of one (1) year relevant experience.
- Possess intermediate level MS applications knowledge and proficiency.
- Knowledge/ skill in Inventory & Warehouse Management
- Knowledge of Basic Accounting Procedures
- Must be Customer Service inclined.
- Be deadline and detail oriented.
- Be able to lift, push or pull about 40lbs;
- Have a strong desire to learn and grow.
