Hotel Magdalena is looking for a Front Office Manager who will be responsible for providing superior service with all guest interactions. Specifically, the Front Office Manager will excel in telephone operations, reservations management, concierge services and overseeing the Front Office operations in its entirety. Qualifications : We're looking for :

Hotel Magdalena is looking for a Front Office Manager who will be responsible for providing superior service with all guest interactions. Specifically, the Front Office Manager will excel in telephone operations, reservations management, concierge services and overseeing the Front Office operations in its entirety.

Knowledge, Skills, and Abilities :

  • High School diploma or general education degree (GED).

College Degree preferred

  • Two (2) years front desk related experience in hospitality or service industry
  • Ability to speak, read, write and understand the primary language(s) of the workplace
  • Ability to read and interpret documents such as safety rules, operating and
  • Maintenance instructions and procedure manuals
  • Ability to write routine reports and correspondence
  • Ability to speak effectively before groups of co-workers and sister property staff
  • Ability to create documents in Excel and Word
  • Ability to understand other computer programs (i.e. Property Management System)

  • Job Requirements :

  • Must adhere to the grooming standards and maintain a professional appearance at all times
  • Lead the rooms department in daily operations
  • Point of contact rooms department in the absence of DOR
  • Manager On Duty for hotel in the absence of DOR and GM
  • Oversee VIP Program & VIP meet and greet
  • Demonstrates a working understanding of labor cost control through effective scheduling and proactive management, and minimizing departmental overtime Oversight in Guest Service Scores and implementation in
  • Manage department timecards, PTO, requests in a daily basis
  • Responding to Reviews & Surveys, sending post-stay emails and following up in guest recoveries
  • Carry out performance evaluations in line with standards and expectations
  • Onboarding and offboarding employees in line with HR protocols
  • Attending all relevant departmental, managerial, and compliance meetings
  • Forecasting hotel occupancy and scheduling based on hotel needs
  • Maintain open communication with department leaders
  • Adhere to hotel SOP, policies, and training materials]
  • Ensure all employees adhere to dress code policies for their scheduled shift
  • Promote and encourage guest engagements and anticipatory service
  • Maintain knowledge of all property services and amenities
  • Ensure the accuracy of hotel guest reservations and group reservations (i.e. rates, dates of stay, room types, VIP amenities, billing instructions, etc.)
  • Oversee continuous Training and Development of Front Desk Team
  • Develop departmental objectives, budgets, policies, procedures and strategies
  • Ensure staff have a complete understanding of their job requirements and sufficient training before holding them accountable for results
  • Maintain awareness of documentation needed and retained in employee files
  • Develop departmental objectives, budgets, policies, procedures and strategies
  • Assist accounting with department invoice approval and departmental allocation
  • Process all Travel Agent commissions
  • Manage hotel donations and gift certificates
  • Maintain an increased awareness of safety issues throughout the property
  • Ensure that staffing levels are up to par with occupancy and cover shifts if necessary (call outs, front desk crunch, etc.) Based upon fluctuating demands of the operation and to exceed customer expectations, it may be necessary to perform a multitude of different functions not specifically related to this position. This person may be expected to perform other tasks and duties as needed or as directed. Furthermore, employee responsibilities and job descriptions are subject to review and revision.
  • Working Conditions / Environment :

  • The noise level in the work environment is usually moderate, typical of a hotel / restaurant / office setting
  • The person in this position may have to lift / carry up to fifty (50) pounds on a daily basis; anything over fifty (50) pounds is considered a minimum two (2) person lift
