Job Summary: We are seeking a detail-oriented and proactive Sales Administrator to support our sales team and ensure smooth operations in managing customer orders, communications, and data entry. The ideal candidate will have experience with MS Outlook, DIBBS (Defense Logistics Agency (DLA)) data entry, and be proficient in using ERP systems, particularly Made 2 Manage.
Key Responsibilities:
- Provide administrative support to the sales team by managing and processing sales orders.
- Perform accurate data entry in the ERP system (Made 2 Manage) to maintain up-to-date records of customer orders, inventory, and shipments.
- Handle DIBBS (Defense Logistics Agency) data entry to ensure timely and accurate submission of procurement information for government contracts.
- Monitor and manage communication with customers, ensuring all sales-related emails are responded to promptly.
- Assist in tracking and managing sales pipelines, customer inquiries, and quotes.
- Coordinate with other departments (e.g., logistics, finance, production) to ensure seamless order fulfillment and delivery.
- Prepare reports and updates on sales activities, order status, and customer information.
- Maintain organized sales documentation and ensure compliance with company policies.
Required Skills and Qualifications:
- Proficiency in MS Office for email management and calendar scheduling.
- Strong data entry skills with experience in DIBBS (Defense Logistics Agency) data entry.
- Experience using ERP systems, preferably Made 2 Manage, for managing sales and order data.
- Excellent attention to detail and accuracy in data entry.
- Strong organizational and time-management skills.
- Ability to work collaboratively with cross-functional teams.
- Excellent communication skills, both written and verbal.
- Ability to handle multiple tasks in a fast-paced environment.
- A background in sales administration or a similar role is a plus.
Preferred Qualifications:
- Min 5 years experience working in a defense contracting environment or with government procurement processes is an advantage.
- Familiarity with additional ERP systems and sales management tools.
Education:
- A high school diploma or equivalent required.
- Associate’s degree or higher in business, administration, or a related field is preferred.
