Job Overview
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, overseeing office procedures, and providing support to staff and management. This position requires strong leadership skills, a keen eye for detail, and the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Manage daily office operations, ensuring efficiency and effectiveness in all administrative processes.
  • Supervise front desk activities, including greeting visitors and handling incoming calls.
  • Oversee medical office management tasks, ensuring compliance with health regulations and standards.
  • Maintain organized filing systems for both physical and electronic documents.
  • Coordinate vendor management activities, including negotiating contracts and maintaining relationships with suppliers.
  • Assist in budgeting processes by tracking expenses and preparing financial reports.
  • Support team management by providing guidance to administrative staff and facilitating communication among departments.
  • Implement organizational strategies to optimize workflow and improve productivity within the office.

Requirements

  • Proven experience in office management or administrative roles.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Experience in medical office management is preferred but not required.
  • Proficiency in managing files and maintaining accurate records.
  • Excellent interpersonal skills with a focus on customer service at the front desk.
  • Familiarity with vendor management practices is a plus.
  • Ability to supervise staff while fostering a collaborative team environment.
  • Knowledge of budgeting principles and financial tracking is beneficial.
  • Knowledge of Microsoft office 365
  • Knowledge of QuickBooks online
