Job Description – Event Coordinator
(Heavily Weekend-Oriented)
Job Title: Event Coordinator
Reports To: Assistant Manager, Administrator, General Manager, Owners
Objective:
The objective of this position is to supervise the event staff as well as completely
oversee events occurring at Hyper Kidz using exceptional organization, extreme
diligence, and a precise way of planning. The Event Coordinator will create records and
track orders for all events held with Hyper Kidz. The Event Coordinator must be able to
maintain accurate records as well as share all their records with management to ensure
the events are held to the highest standard.
Job Responsibilities:
- Oversee the Events Department
- Schedule event staff in accordance with the daily, weekly, and monthly events
booked at Hyper Kidz
- Monitor and respond to reviews related to parties or events as directed by
management
- Promote functional and pleasant relationships with Hyper Kidz vendors. These
partnerships are extremely important to the quality and functionality of Hyper
Kidz. As the Event Coordinator, you will act as a liaison to each of these vendors,
so keeping the relationship professional and functional is extremely important.
Any grievances with Hyper Kidz vendors should be brought up to Management
immediately.
- Stock party inventory when necessary. When new party inventory arrives on site,
it is the Event Coordinator’s job to ensure that it ends up in the correct place.
This ensures all staff can find such items as they are needed.
- Keep records of all party inventory. As inventory arrives at the facility, the Event
Coordinator will make sure a record of the new inventory is kept track of. This will
ensure all employees will be aware of how many items are on site and allows all
employees to make a note of what needs to be ordered for Hyper Kidz. Party
inventory is extremely important, as Hyper Kidz specializes in birthday parties.
- Keep records of all events taking place at Hyper Kidz. Hyper Kidz will specialize
in many different types of experiences; not only will children and parents have
the indoor playground experience, but many parents will choose to have birthday
parties for their children at Hyper Kidz. The Event Coordinator will keep track of
every event taking place at Hyper Kidz to allow Managers and Owners to better
understand the flow of traffic and the amount of parties and other events to
accurately provide Hyper Kidz with enough employees for the day.
Other Responsibilities:
- Ensure all guests are greeted enthusiastically and all Hyper Kidz associates
interact with our guests in a positive and professional manner
- Assist with social media updates and promotions
- Execute marketing and promotional plans effectively and professionally at
Manager’s approval.
- Assist in establishing a strong identity for Hyper Kidz within the community and
the industry in which it operates
- Oversee the execution of party reservations and Party Hosts to keep parties
running smoothly and on time
- Document all event-related financial reports as required by management
- Assist guests who have questions, concerns, or special needs
- Manually complete reservations as needed using the point-of-sale software
- Answer telephone calls from guests seeking to make reservations or ask
questions about events
- Plan and promote employee events or incentives as directed by management
- Must be able to work weekends
Any other appropriate job tasks or duties as required by the General Manager, Assistant
Manager, or Owners.
Required Work Education, Experience, and Skills:
- High School Diploma or equivalent
- At least 1-2 years’ experience in a customer service or related position.
- Detail-oriented, good communicator, organized, good work ethic, high standards
for self and staff, personable and professional
