Summary / Objective
Under the supervision of the Transportation Director, the Fleet Coordinator oversees the entire day to day preventive maintenance checkups and all vehicle and driver compliance requirements. This position supports the Transportation Director with all fleet vehicle maintenance, drivers, and safety requirements as well as providing accommodation to assist fleet vehicles as client, routing and weather conditions change.
Essential Functions
- Defines and enforces transportation industry operational and safety standards.
- Coordinates scheduling for all vehicle servi.es, equipment revisions, safety and annual Ohio Department of Transportation {ODOT) inspections
- Ensures all forms are updated and accurate records are maintained in compliance with licensing agency regulations.
- Maintains binders in each vehicle with required documentation (i.e., both emergency medical forms.)
- Communicates and collaborates with program supervisors and managers, as appropriate, regarding transportation support, capabilities and equipment needs.
- Oversees and maintains a variety of records, logs, and reports to ensure compliances needs.
- Responsible for the processes to ensure the confidentiality, security, and integrity of data and that the information is maintained and protected against loss, destruction, tampering and unauthorized destruction or use.
- Ensures vehicles are operated in strict accordance with time schedules and route assignments, without deviation and with use of software systems.
- Complies with all ODOT and Medicaid requirements, policies, and procedures.
- Assists with transporting vehicles for maintenance and rotation as needed.
- Encourages innovation and creativity that increases efficiency and productivity.
- As needed, attends individual service plan (ISP), special team meetings, and admission meetings to address transportation options and concerns.
- Maintains all data tracking in the identified transportation vehicle to ensure follow up on maintenance request orders, reporting, and audit requirements (i.e., daily safety check of vehicles).
- Oversees and tracks all department receipts and cost documentation within established financial software provided to ensure accuracy (ie, gas receipts).
- Accountable for the accurate and timely submission of financial data to the finance department.
- Submits expense reports on a timely basis.
- submits accurate records of billable services for billing purposes,
- Ensures identified agency personnel are trained on the Vehicle Emergency Action Plan (VEAP) transportation policies and procedures.
- Develops, conducts, and maintains records related to formal safety and emergency preparedness training for
agency drivers.
Recognizes individual person's (consumer's) needs and expectations.
This job operates in an environment that can be work outdoors, in provided vehicle(s) as well as site for extended periods of time in a vehicle and an office setting. There could be occasional community activity. While performing this job, an employee may encounter various medical equipment some liquid, fumes or airborne particles. Noise levels in the environment are unusually moderate.
