We are seeking a Hospice Administrator, HR & Accounting Assistant to provide essential administrative, human resources, and financial support to ensure smooth operations in our hospice services.
Job Summary:
The Hospice Administrator, HR & Accounting Assistant will support the Hospice Administrator in managing daily operations, compliance, human resources, and accounting functions. This role requires strong administrative, HR, and financial management skills, knowledge of QuickBooks, and the ability to handle sensitive information with discretion.
Key Responsibilities:Administrative & Compliance Support:
- Assist the Hospice Administrator in daily operational and administrative tasks.
- Maintain and organize patient records, ensuring compliance with HIPAA and hospice regulations.
- Coordinate communication between staff, patients, families, and external healthcare providers.
- Assist in scheduling and organizing meetings, audits, and training sessions.
- Ensure compliance with Medicare, Medicaid, and California State regulations for hospice care.
- Prepare reports, presentations, and correspondence as directed by the administrator.
- Support HIS (Hospice Item Set) submission to ensure accurate and timely reporting.
- Conduct invoice review and audit to verify accuracy and compliance with policies.
Human Resources Support:
- Assist with the recruitment process, including posting job openings, screening resumes, and scheduling interviews.
- Process onboarding and credentialing for new hires, ensuring compliance with state and federal regulations.
- Maintain employee files and HR records in accordance with company policies and legal requirements.
- Track and manage staff licensure, certifications, and training compliance.
- Support payroll processing by ensuring employee timesheets and documentation are submitted on time.
- Assist in employee relations, including addressing staff inquiries and coordinating HR-related meetings.
- Help facilitate performance evaluations and maintain records of employee progress.
- Monitor and assist in policy compliance, labor laws, and workplace safety programs.
Accounting & Financial Support:
- Manage Accounts Payable (AP) & Accounts Receivable (AR) processes using QuickBooks.
- Process and track vendor invoices, payments, reimbursements, and payroll documentation.
- Reconcile accounts and assist with financial reporting for hospice operations.
- Ensure timely and accurate billing, collections, and payments for patient services.
- Review and audit expense reports, invoices, and financial transactions for compliance and accuracy.
- Assist with budget tracking and financial forecasting to ensure operational efficiency.
Qualifications & Requirements:
High school diploma or equivalent (Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, Accounting, or HR preferred).
2 years of experience in administrative, HR, or accounting roles, preferably in a healthcare or hospice setting.
Experience with QuickBooks and HIS (Hospice Item Set) Submission is strongly preferred.
Familiarity with Medicare/Medicaid regulations and hospice policies is a plus.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience with HRIS (Human Resources Information Systems) and Electronic Medical Records (EMR) preferred.
Strong organizational, time management, and communication skills.
Ability to handle confidential information with professionalism and discretion.
Detail-oriented with the ability to multitask in a fast-paced environment.
Knowledge of labor laws, employee benefits, and HR best practices is a plus.
