Position Overview:
The Benefit Payment Coordinator assists the Benefit Payment Analyst with processing annuity benefit applications submitted by plan participants and beneficiaries, as well as managing associated mail. This role also involves providing high-quality customer service, including daily telephone interactions with participants and beneficiaries. The primary focus is to ensure benefit applications are processed efficiently, accurately, and within established timelines, while maintaining a professional and high standard of service.
This position reports directly to the Benefit Payment Department Manager.
Key Responsibilities:
· Provide exceptional customer service to participants and beneficiaries via telephone and mail, responding to inquiries and related correspondence.
· Distribute and provide benefit applications to plan participants and beneficiaries.
· Review completed applications for accuracy and completeness, ensuring eligibility according to plan rules. Address any outstanding issues with applicants during the application process.
· Forward completed applications to the assigned Analyst for approval and communicate decisions to applicants.
· Ensure completed applications are scanned and organized properly.
· Assist in resolving customer complaints with professionalism and care.
· Perform additional tasks as directed by the Benefit Payment Department Manager.
Other Responsibilities:
· Maintain strong organizational skills to manage and prioritize multiple daily tasks effectively.
· Operate office equipment, including computers and scanning/labeling systems.
· Sort and distribute daily mail, including opening, date-stamping, and routing to departments.
· Scan, copy, and organize applications and remittance reports.
· Prepare mailings such as participant notices and letters.
· Update participant addresses in the AS400 system.
· Sort, scan, and distribute incoming faxes, emails, and other materials.
Work Schedule:
This is a full-time, in-office position, Monday through Friday, 8:30 AM to 5:00 PM. Regular in-office attendance is required.
