What are the responsibilities and job description for the Customer Service-Acct Spc position at IAP?
At International Auto Processing LLC, the Account Specialist will serve as a liaison between the commercial account and IAP personnel.
Essential Duties:
- Receive information on allocations from Port Representative and enter the information into the computer either manually or by electronic file transfer, in a timely and accurate manner.
- Run allocation reports and verify the accuracy of the information entered; distribute the reports promptly to appropriate departments.
- Monitor the progress of allocations throughout the day, communicating with appropriate personnel regarding special problems, "hot loads", etc., to facilitate the completion of allocations.
- Release completed loads promptly throughout the day.
- Promptly set up a Ship File, including customs release, marine survey and manifest.
- Accurately and efficiently enter the account manifest into the computer system, either manually or by electronic file transfer.
- Run manifest and accessory reports and verify the accuracy of information entered.
- Generate work labels and Monroney’s for timely distribution to the Field Department personnel.
- Print and sort Monroney’s performing Monroney research as needed.
- Perform vehicle inquiries and opening / closing of accessories
- Track manifest totals, customs release and not on file (NOF) units.
- Provide all billing information to accounting by the established deadline.
- Respond promptly, accurately and courteously to requests for information from other departments, Port Representatives and their regional or national representatives, trucking companies and other support services.
- Handle trucker e-mails.
- Box/file documents
- Maintain up-to-date filing of reports, releases, manifests, shipping and other documents as instructed.
- Answer the telephone in a pleasant and professional manner.
- Provide courteous assistance to incoming customers, visitors and employees.
- Reconcile physical inventory with computer.
- Process information for special account campaigns according to procedure on an as-needed basis.
- Maintain a safe working environment and follow all policies and procedures regarding safety.
- Perform other duties as assigned.
- Shift: Monday – Friday 7:00am – 4:00pm with possible overtime and/or weekend work as needed.
Minimum Qualifications:
- High school diploma or GED
- Valid US Driver’s License
- Obtain and maintain Transportation Worker Identification Credential (TWIC Badge) issued by the Department of Homeland Security
- 2 years of experience in Microsoft Excel.
- Type 40 wpm
- Ability to communicate, understand and follow verbal and written instructions.
Preferred Qualifications:
- Knowledge of systems such as IBM AS400
- Excellent customer relations skills.
- Must possess problem-solving abilities and be detail oriented.
