Position Overview:
We are seeking a highly organized and proactive Assistant Office Manager to support the Office Manager in overseeing daily operations, managing administrative staff, handling financial reporting, and assisting with human resources functions. The ideal candidate will have experience in office management, a working knowledge of , and a strong desire to collaborate in a team-oriented environment.
Key Responsibilities:
Oversee daily office operations to ensure efficiency.
Manage office supplies inventory and procurement.
Assisting the Office Manager in developing and
implementing office policies and procedures.
Team Coordination:
Supervise administrative staff and delegate tasks effectively.
Facilitate communication between the Business Manager, Business Representatives, and staff.
Organize team meetings and coordinate schedules.
Financial Management:
Assist with payroll
Process invoices and manage accounts payable/receivable.
Maintain accurate financial records and reporting.
Human Resources Support:
Assist with recruitment, onboarding, and training of new employees.
Maintain employee records and manage benefits
administration.
Address employee inquiries and resolve workplace issues.
Facility Management:
Oversee maintenance of office facilities and equipment.
Ensure compliance with health and safety regulations.
Coordinate office moves and space planning.
Communication and Reporting:
Prepare reports presentations, and documentation as needed.
Manage incoming correspondence and direct it appropriately.
Customer Service:
Greet visitors and manage reception duties.
Address member inquiries and provide
support as needed.
Data Management:
Maintain and organize digital and physical filing systems.
Ensure data accuracy and security protocols are followed.
Relevant Experience:
Prior experience managing employees, working in a professional office
Experience ordering and maintaining supplies
Leadership skills, including the ability to delegate, supervise and see tasks through from start to finish
Experience in bookkeeping/accounting and managing finances
Technical Skills:
Strong skills in Microsoft Office Suite (Excel, Word,
PowerPoint)
Excellent communication and organizational skills.
Strong problem-solving abilities.
Ability to manage multiple tasks and deadlines effectively.
