Job Overview

This position will support our Office Manager with various administrative tasks to ensure smooth office operations. While experience in the construction industry is preferred, it is not required. The ideal candidate will have familiarity with construction terminology, materials, and documentation processes for both commercial and residential projects.
This position will require proficiency in computers and Microsoft Office, strong attention to detail and the ability to stay organized and on task, the ability to quickly learn new construction management software, and professionalism in all interactions with clients, suppliers, and contractors. On-the-job training will be provided to ensure familiarity with our systems, resources, and expectations. Compensation is based on experience and qualifications.
Requirements
- High School Diploma/GED
- 2 Years Administrative Experience
- Computer fluency with Microsoft Office, online software, email, and basic troubleshooting
- Clear and professional writing skills
- Detail oriented and well-organized
- Availability to work in-person Monday-Friday 8:30-4:30 (This is not a remote position)

Responsibilities
- Handle all incoming calls and emails, providing information about company services, answering inquiries, collecting lead details, and directing messages to the appropriate team members.
- Manage lead intake for residential projects, gathering relevant job details such as contact information and project scope, and accurately inputting them into our construction management software.
- Coordinate and schedule site visits with clients, ensuring seamless communication and organization.
- Assist the Office Manager in creating and maintaining both digital and physical client files, ensuring all necessary documentation is accurate and up to date, with weekly filing responsibilities.
- Prepare, edit, and send contracts promptly and with attention to detail.
- Conduct regular follow-ups with both residential and commercial leads, tracking all communications in the system.
- Provide support to the Office Manager on various tasks as needed, including marketing, social media management, obtaining material quotes, and other administrative duties.
Skills (These skills are essential for success in this role and must be learned quickly if not already possessed)
- Maintain a professional demeanor in all client and vendor interactions, especially when handling difficult conversations regarding contracts, costs, and company policies. Strong verbal and written communication skills are essential.
- Strong working knowledge of Microsoft Office, including the ability to create and edit fillable documents, format spreadsheets, save files in various formats, and work with fillable PDFs.
- Familiarity with or ability to quickly learn online platforms such as DocuSign, Buildertrend, and online lead management sites.
- Strong time management skills with the ability to stay organized, prioritize tasks, and manage multiple responsibilities efficiently.
- Familiarity in the company's scope of work (including framing, drywall, paint, finishes, etc.).
- Basic understanding of the company’s scope of work, including framing, drywall, paint, and finishes, as well as familiarity with material names and variations to effectively communicate with suppliers and clients.
- Ability to conduct basic research, troubleshoot technical issues, and find solutions efficiently.
