The Role
As the Administrative Assistant, you will play a crucial role in ensuring the efficiency of the Finance and Administration team of ICAN by providing exceptional, friendly, energetic, and professional customer service at all times. Your attention to detail and commitment to accuracy will directly support financial operations, including maintaining organized records, processing invoices and donations, and assisting with financial documentation. Reporting to the Office Manager, you will do this by:
Administrative Support (100%)
- Answers all incoming calls promptly and professionally, directing them to the appropriate team member.
- Monitors incoming visitors, and directs inquiries as needed.
- Manages and maintains office shared equipment and meeting spaces.
- Completes monthly inventory of breakroom and office supplies.
- Receives, sorts and distributes all electronic and physical mail including packages.
- Process outgoing mail.
- Assists with organizational purchases.
- Receives, logs and routes incoming donations (checks, cash, in-kind) to the appropriate team member.
- Manages All Staff and Room Reservations calendars.
- Coordinates logistics and materials for department meetings, including recording notes.
- Posts notifications of office closures promptly.
- Responds to payment inquiries and assists with accounts payable and receivable tasks including accurate data entry.
- Maintains and updates staff resources such as; printer & scanner guides, training guides, staff directory, etc.
- Attend regular staff meetings and required training sessions.
- Provide administrative support to the Finance and Admin team as needed.
- Department needs may evolve over time, and responsibilities may shift to reflect organizational priorities.

Hourly wage based on experience and nonprofit pay scale of: $20/hr. - $26/hr.

Experience/Skills
